The Impact You’ll Make in this Role
Become an integral part of our Strategy and Corporate Development team as an Administrative Operations Coordinator – Strategic Excellence. This role is tailored for a highly organized and proactive individual who excels in both executive assistance and operational functions. You will play a key role in supporting the strategic planning and operational activities of our organization, including capacity management and staffing coordination. You will collaborate closely with the EVP/CSO’s Executive Assistant and provide essential back-up support as needed.
Key Responsibilities:
- Provide comprehensive administrative support to the Strategy and Corporate Development team, including calendar management and high-level meeting coordination and management with internal and external stakeholders.
- Assist in the preparation and distribution of strategic planning documents, presentations, analysis and reports.
- Coordinate cross-functional meetings and workshops, ensuring seamless logistical execution.
- Support operational activities related to strategic planning, including data collection, analysis, and reporting.
- Assist in assessing risk management and resource planning to maximize efficiency and minimize costs.
- Act as a liaison for internal and external stakeholders, addressing inquiries and facilitating effective communication, including coordination of resources across all stakeholders.
- Collaborate closely with C-Suite Executive Assistants to align on organizational priorities and executive support needs.
- Perform additional duties as assigned to support the strategic objectives of the team.
Your Skills and Expertise
To set you up for success in this role from day one, 3M requires (at a minimum) the following qualifications:
- High school diploma/GED or higher (completed and verified prior to start) from an accredited institution
- Five (5) or more years of experience performing common administrative functions and software (e.g., telephone, e-mail etiquette, MS Office and Teams, expense reporting, mailings, supply/equipment ordering, and meeting planning) in a public, private, government, or military environment
Additional Qualifications:
- Proven experience as an administrative assistant or coordinator, ideally within a strategy or corporate development setting.
- Strong organizational skills with the ability to juggle multiple priorities and meet deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Skilled in using Outlook for email and calendar management within a Teams environment.
- Ability to work independently and collaboratively in a fast-paced environment.
- Detail-oriented with strong problem-solving skills.
