This includes smart solutions from EV chargers for the home, through electrified fleet depots and opportunity charging for electric bus and trucks, to high-power chargers for the highway stations of tomorrow. In this exciting role, you will have the end-to-end process responsibility for all requests reaching our CCO & President Europe. You will be working closely with him and the European and global leadership team to ensure business demands are met in a timely manner and with highest quality. This role embraces classical executive assistant tasks, including the administrative support of key projects as needed. Whether it is managing a full calendar, scheduling meetings across various time zones, or arranging and coordinating complex travel logistics, you will apply your multitasking, organizational, and decision-making skills to fulfill critical administrative and logistical requests. Furthermore, you will be acting as office manager for our Swiss ABB E-mobility office. In this context, you build meaningful, collaborative relationships with the colleagues who depend on your administrative support and with the broader Europe Region and global team. The position is located in Zürich, Switzerland.
Your responsibilities
- Maintain, arrange, and proactively prioritize the Executives’ diary & coordinate travel arrangements
- As required, managing the Executive’s e-mail inbox by categorizing or prioritizing e-mails and answering where appropriate
- Coordinate and arrange internal and external meetings, preparation of internal presentations in close collaboration with the Executive
- Effectively coordinate key initiatives assigned across the team and provide assistance to the Executive running strategic projects (as required)
- For leadership meetings: participation, capturing meeting minutes and actions, including follow-up
- Coordinate and handle correspondence with internal and external stakeholders
- Build strong relationships with other Executive Assistants and cross-functional teams globally to achieve common goals
- Lead the Swiss Office activities by maintaining office services as ordering office supply, handling office requests, be responsible for managing tech and key inventory and be first point of contact for our landlord and visitors
- Assist with office technology setup, maintenance, troubleshooting
- Ensure our office environment and resources are conducive to employee productivity and well-being and reflect our culture
- Help us make our local office and work environment a better place for yourself, our colleagues and our customers that come to visit us
Your background
- Education as Secretary/Assistant or equivalent combination of education and relevant work experience and a minimum of 8 years’ experience of working in an international environment
- Fully proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), fluency in English and German (written and verbal)
- Strong organizational, interpersonal and communication skills, team orientated philosophy, strong problem-solving skills
- Able to work proactively, effectively and solution oriented with minimal supervision
- Experience adhering to confidentiality standards while displaying highest levels of integrity and discretion and ability to handle confidential information
- Experience prioritizing in complex, fast-paced environment while maintaining commitments to deadlines
