Your Role and Responsibilities

We are looking for an experienced Administrative Business Assistant to join our Process Automation business area, within the Process Control Platform organization. Our unit designs and delivers advanced control systems, products, and instrumentation for the power, water, and industrial sectors. Our portfolio includes comprehensive, state-of-the-art automation solutions for traditional markets such as thermal and water, as well as fast-growing renewable sectors including solar, wind, and hydro.

In this role, you’ll help run what runs the world by taking on meaningful work that drives real impact, as you will be accountable for:

  • Implements ABB processes and initiates continuous improvement of administrative processes and procedures to maximize efficiency and effectiveness.

  • Welcoming and assisting visitors and employees, ensuring a positive and professional experience. Managing office supplies, equipment, and general facility coordination.

  • Arranges business-critical internal/external events, including arranging travel, developing itineraries, booking accommodation, registering for conferences, and coordinating with visiting speakers, among other tasks.

  • Provides financial support at a business level, which includes monitoring budget spend, raising and approving requisitions/invoices, and other related tasks. Processing and tracking invoices, including sorting, validation, and submission for payment.

  • Acting as the primary contact for visa requests and invitation letters for international visitors to the Italy office.

  • Assisting managers with complex travel arrangements, including bookings and itineraries. Collaborating with the HR team on employee onboarding and offboarding processes.

  • Performing general administrative and clerical duties to ensure efficient office operations. Supporting data entry, reporting, and document management as required.

Your Background and Skills

  • At least 5 years of experience in office administration, executive assistance, or a similar role.

  • You are proficiency in Microsoft Office Suite (Outlook, Teams, SharePoint, PowerPoint, Excel, Word).

  • Experience with SAP ERP or other enterprise management systems is a strong plus.

  • You are an excellent communication and interpersonal skills.

  • You are at ease communicating in Italian and English.

  • You have a strong organizational skills with the ability to manage multiple priorities and deadlines. You have a proven attention to detail, accuracy, and discretion when handling confidential information.

  • You have a proactive and collaborative mindset, with a positive attitude and a strong sense of ownership with the Ability to work independently while fostering teamwork across departments.
