The Opportunity
This position works out of our Kyiv location in the EPD Division.
As the Personal Assistant you’ll be providing administrative support to GM.
What You’ll Do:
Provide administrative support and procedural duties as required for effective operation of General Management
Monitor incoming calls, maintain agenda and prioritize incoming correspondence. Follow all the approvals related to Country Management
Provide support with calendar management for GM by setting up regularly occurring 1:1 meetings, team meetings, conf. calls
Plan & organize internal, external & virtual meetings
Prepare communications to sign-off stage wherever possible, prepare agendas and minute meetings
Distribute communications on behalf of General Manager, writing external and internal official letters
Arrange travel requirements for GM in line with Abbott policies, prepare visa documents, arrange hotel bookings & transfers
Prepare travel expense reports and provide documents support for GM in a timely manner and according to the Abbott travel policy
Provide Accounting & Finance related project support; including supplier selection & set up; follow up on invoices
Act as a coordinator on affiliate-based events & projects involving other Departments' Administrative Assistants
Required Qualifications:
University Degree
Minimum of 1 years’ experience as Personal Assistant
Excellent organizational & planning skills, practical in work approach and ability to prioritize
Ability to take the initiative and to work within a team environment requiring collaboration and communication
Excellent working knowledge of Microsoft Office, Power Point and Excel skills
Fluent English, Ukrainian and Russian oral and written communication skills.
Analytical skills
1C knowledge is preferable
