Our location in Sylmar, CA currently has an opportunity for an Administrative Assistant II. In this onsite role, you will provide primary administrative and overall support and coordination for a Divisional Vice President and their support staff. You will be responsible for completing special assignments and projects as required to enable efficient departmental operations and interacting with key internal and external stakeholders.
This is a fully onsite role.
This is not your typical Administrative Assistant role. In addition to providing high-level administrative support, you’ll play a key role in the hands-on efforts to create a site culture, communicate with employees, identify and track opportunities to improve the site, and support digital resource management initiatives such as compiling project management reports. We’re looking for someone who is proactive, detail-oriented, and takes pride in creating a polished, professional environment. If you enjoy blending administrative precision with hands-on problem-solving, this role is for you.
WHAT YOU’LL DO:
- Serves as Administrative Support to a Divisional Vice President and Director level leadership along with broader team in tasks including calendar management, expenses, and travel management, ordering supplies and equipment and meeting preparation
- Supports Leadership on goals and strategy through deck preparation, communication templates, town hall preparation, job description creation and oversite of cascade of information
- Attend leadership meetings to capture minutes; publish and track all action items
- Support Sylmar, CA facilities and leadership
- Develop and leverage digital tools for project management, metrics management, and servicing metrics
- Create Purchase Orders for supplies, services, and IT equipment
- Serve as delegate for expense and purchasing approvals
- Maintain organizational chart
- Supports new hire needs, seating, equipment, and site access
- Coordinate office events and other on-site meetings
- Other duties as assigned
Required Qualifications
- High School Diploma
- Minimum 5 years’ experience in an Administrative Assistant role supporting teams
- Proven intermediate to advanced proficiency in Microsoft outlook, word, excel and power point
Preferred Qualifications
- Associate or bachelor’s degree
- Organizing: Ability to structure self and others through planning, filing, minutes and action item documentation
- Multi-tasking: Can manage several directors with ad hoc needs while executing daily assigned tasks
- Approachability: Has a professional and approachable demeanor when interacting with all level employees
- Action-Oriented: Can execute on direction given independently and efficiently while following up with updates proactively
- Written Communications: Draft emails, presentations, and other business documents on behalf of directors in a professional and accurate manner
- Functional/Technical Skills: Ability to learn and execute in business systems as required and troubleshoot and escalate issues proactively

The base pay for this position is $24.40 – $48.80 per hour. In specific locations, the pay range may vary from the range posted.
