Job Description
*This is a hybrid role and you will be required to be onsite at our Mettawa, IL location Tuesday-Thursday*
Congress Planning, Execution, and Management:
- Own a portfolio of high value community oncology/market access congresses; thereby, leading the end-to-end (from initial brief through post-show analysis) congresses within the healthcare/life science vertical.
- Collaborate with the Community Oncology/Market Access Team to develop congress strategy, identify and clarify congress goals and objectives; thus, ensuring pre, peri, and post congress promotion, booth design, and onsite initiatives to support business goals and maximize return on engagement/return on investment.
- Develop and implement Standard Operating Procedures (SOP’s) for High Value Community Oncology/Market Access Congresses.
- Conduct post-congress analysis and optimization: Close out all congresses with post-congress surveys, data analysis, and stakeholder reporting. Gather feedback and review budget recaps to inform future congress strategy and demonstrate business impact.
- Exercise strategic thinking to identify trends, recommend improvements, and shape the evolution of the congress program.
- Accountable and responsible for congress end-to-end collaborative (internal and external stakeholder) project management plan trackers to ensure beating and meeting key milestones.
- Manage project budgets and track and submit purchase orders as needed.
- Collaborate with internal and external stakeholders (Internal – AbbVie Business Services Group, Digital Lab, Office of Ethics and Compliance, Legal, Regulatory, etc.), External - (AbbVie Congress & Engagement Vendor Partners).
- Lead the branded/non-branded asset promotional approval process (Veeva) and ensure firewall compliance.
- Cross-functional collaboration: Work closely with creative, CRM, content, and social media teams to coordinate congress messaging, collateral production, and release dates. Serve as a liaison across business development, asset/brand/function leadership, and marketing, sharing best practices and ensuring alignment of messaging, content, and deliverables.
Event Management:
- Initiate, execute, and strategically manage multiple projects, ensuring timely reporting of team activities, including providing project management for High Value Pre-Congress Engagements (ASCO & ASH).
- Managing event collateral: Partner with AbbVie’s internal teams to set realistic timeframes for creation and proofing to meet event rollout dates. Ensure invitations and emails are deployed timely, and coordinate creation of registration materials, badges, printed collateral, and event kits.
- Managing ancillary programs: Secure venues, meeting space, and manage onsite schedules. Build elevated experiences which drive measurable business outcomes and pipeline acceleration. As needed, attend events to ensure expectations are met, coordinate modifications with external partners, manage event staff and vendors, and address attendee inquiries.
- Develop and implement SOPs for high value pre-congress engagements.
- Develop and maintain project trackers for coordination of milestones.
- Lead the branded/non-branded asset promotional approval process and ensure firewall compliance.
Vendor Management:
- Design & build exhibits: Partner with AbbVie’s Congress Agency of Record (AOR) and exhibit vendors to create impactful booths. Oversee vendor coordination inclusive of audio visual, booth design/fabrication, graphics, hospitality, shipping, and show services. Bring firsthand booth-build experience from concept through installation and dismantle (I&D).

Qualifications
- Bachelor’s degree required and a minimum of 5 years of congress/events/meeting planning work experience.
- Certified Meeting Planner (CMP), Certified Trade Show Marketer (CTSM), Certified Special Events Professional (CSEP), Certified in Exhibition Management (CEM), or Digital Event Strategist (DES), or specialized training in congress and sponsorship management experience.
- Knowledge and understanding of the oncology therapeutic and commercial operations.
- Previous Veeva Promo mats (Medical/Promo/Regulatory) Routing experience.
- Strong budget management and project management skills
- Ability to coordinate a cross-functional team, facilitate prominent levels of collaboration to achieve results.
- Ability to lead without authority, driving through execution across multiple functionally diverse stakeholders; thereby, organizing information in an appropriate format to gain stakeholder buy-in.
- Ability to operate with a high degree of autonomy in a dynamic environment.
- Excellent organizational skills with a history of trusted partnerships and achieving results while managing multiple projects concurrently.
- Ability to motivate and influence others without direct management authority with excellent diplomacy and facilitation skills.
- Exceptional interpersonal skills and excellent verbal and written communication skills
- Ability to assess risks and benefits to make timely, sound decisions with various levels of information, and accept responsibly for meeting and/ or exceeding objectives.
- Highly organized, meets project deadlines and proactively delivers to fulfill business objectives.
- Expertise in Microsoft Office Suite, Excel, PowerPoint, SharePoint, and other internet platforms/tools.
Travel
- Yes, up to 30% of the Time; inclusive of weekend travel needs based upon congress dates.

The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.

This job is eligible to participate in our short-term incentive programs.
