Job Description
The Business Support Coordinator role is an important role in the business, working as part of a team to support with everyday operations, providing excellent customer service.
This position reports to Finance Director Baltics and Ukraine.
Key Responsibilities:
- Act as local MAP (Master Approval Process – AbbVie’s internal system) champion in Latvia:
- Provide full assistance with MAP to local teams
- Prepare all documents accurately and upload all requested information to MAP before submission
- Gather and prepare all documents and upload all requested information into MAP from the project beginning to the end
- Preparation of agreements for HCPs, HCOs, PSA and etc.
- Sales and Marketing support for Commercial Business Units:
- Events and meetings organization and arrangements
- Act as coordinator of locally organized events for involved parties (both external and internal as applicable)
- Be responsible for participants’ registration at events
- Support with materials preparations, hand-outs
- Provide all invoices related to those events for responsible person
- Responsible for international travel arrangements for HCPs and AbbVie’s personnel from Commercial Business Units
- Support the development of promotional materials.
- Other Operations:
- Provide administrative support as program/ tools user: New Vendor creation, Suplier Evaluation Tool, Veeva (MedComms and PromoMats); EXTRA; AbbVie Congress Portal; Sanctioned Party Screening Process.
- Coordinate travel arrangements, bookings where required
- Support organization of local internal events, meetings and initiatives
- Act as Administrative Assistant back-up
Qualifications
- University Degree
- 2 - 3 years of previous experience as assistant (including work with company provided systems, databases, documents and agreement preparation)
- Fluency in Latvian and English languages (both written & spoken)
- Ability to adapt to changes, communicate effectively and work in a team, meet internal and external customer’s needs, deadlines, innovate, demonstrate integrity, reliability and trust, prioritization of assigned tasks, and to utilize office technology and demonstrate practical knowledge of information systems management.
