Join our dynamic international team as a Meetings & Events Planner, where you'll be responsible for planning, producing, and executing various corporate offsite meetings and events across the Gallia region. This role involves managing approximately 600 events annually ranging from 10 to 2,000 attendees, with 35-40 events specifically in the Netherlands.
As the single point of contact for the Netherlands (with backup responsibilities for Belgium), you'll manage events autonomously while ensuring flawless execution of all logistical aspects. You'll serve as the key liaison between clients, vendors, and internal functions.
Key Responsibilities
Event Planning & Execution
- Plan and execute corporate meetings and events including recruiting events, trainings, group meetings, project meetings, and board meetings
- Research venues and vendors, providing cost comparisons and budget preparation
- Negotiate contracts with hotels, event venues, transportation providers, restaurants, and entertainment suppliers
- Manage room blocks and coordinate comprehensive event logistics
Budget & Vendor Management
- Obtain and track budget information while working within financial constraints
- Prepare purchase requisitions and purchase orders
- Manage vendor relationships, deliverables, and invoicing processes
- Ensure quality control and customer satisfaction across all events
Client Relations & Support
- Serve as primary point of contact for event hosts before, during, and after events
- Guide and educate sponsors and requesters through company policies
- Maintain accurate documentation and records for each event
- Build and maintain strong vendor relationships to provide diverse options to clients
Leadership & Guidance
- Provide leadership, oversight, and support in event planning activities
- Guide clients in your functional area with independence in decision-making
- Support and mentor junior team members when required

Here’s what you’ll need
Essential Requirements
- Bachelor's degree or equivalent qualification
- Minimum 4 years of experience in corporate meeting or events business environment
- Fluent in Dutch and English
- Strong knowledge of The Netherlands MICE marketplace
- Experience managing events both autonomously and in a support role
Technical Skills
- Proficiency in Microsoft Office suite
- Familiarity with industry trends and technology
- Effective project management and problem resolution capabilities

Bonus points if you have
- Prior experience as a successful corporate event planner with a highly professional organization
- Certified Meeting Professional (CMP) and/or Certified Meeting Manager (CMM) certification
