The Executive Assistant (EA) works closely with Partners and Sr. Staff to provide superior administrative and case related support. The EA collaborates with members of the administrative team and provides backup support as needed.

Essential Job Functions and Responsibilities:

  • Executive Support – Provides executive-level and case support to the Partners and Sr. Staff. Adapts to Partner and Sr. Staff work style and champions EA best practices.
  • Calendar Management - Manage a complex and shifting calendar, including expert report deadlines, deposition preparation, court appearances, client meetings, and trial schedules. Meeting and Event Support - Ensures conference rooms and other needed resources are coordinated..
  • Travel Management - Coordinates and manages Partner and Sr. Staff travel, utilizing the company’s dedicated travel agents. Monitors the progress of trips as needed, including after hours. Manages changes and cancellations; keeps calendars updated and all parties informed of changes. Provides itinerary for travel as well as all materials needed for trip. Coordinates Passport and Visa applications and renewals.
  • Expense Reimbursement - Expense report processing and oversight.
  • File Maintenance - Paper and electronic filings.
  • LexisNexis CourtLink – Utilizes LexisNexis CourtLink to research and download legal documents for active cases and inquiries. Sets up and receives document alerts for active cases. Maintains case database including timelines such as expert report due dates and court-imposed schedules.
  • Billing – Work closely with Finance and case managers to monitor WIP and prepare monthly invoices.
  • Document Management - Creates, updates, and monitors CV, bios, quals and abstracts.
  • Project and Practice Support - Assist with case and client engagement logistics (conflict checks, engagement letters, document organization). Support preparation for depositions, trials, hearings, board presentations, and client meetings.
  • Special Projects – e.g.: deadline summary updates, report auditing, create and maintain depo and case e-binders.

Qualifications:

  • Bachelor’s degree preferred.
  • Minimum of 5 years of substantive relevant experience required.
  • An ideal candidate will have 5-10 years of substantive relevant experience. Prior experience in the professional services industry preferred.
  • Prior experience supporting multiple senior level executives preferred.
  • Advanced PC capability (M365: Outlook, Word, Excel, PowerPoint, OneNote, Teams) preferred.
