Job Description

Ares Management is seeking an Executive Administrative Assistant in Atlanta to provide coverage for our Public Investor Relations (IR) team.

Primary functions and essential responsibilities

Administrative Responsibilities

  • Answer phones, assist with reception and phone coverage for other administrative staff in your group when necessary, conference call scheduling, correspondence, meeting scheduling, conference rooms, luncheons, file and data entry
  • Complete monthly expense reports for senior leaders of the team in timely manner
  • Serve as primary investor conference coordinator for Ares’ executives and public IR team
  • Work across the global organization to arrange conference calls with the public IR team, business leaders and investors
  • Coordinate earnings calls with conference providers for three of Ares’ publicly traded companies
  • Respond and organize tasks for all e-mails and calls for Ares’ publicly traded companies, including routing to appropriate individuals on IR team
  • Respond to investor requests and maintain investor contact database in salesforce for all four of Ares’ publicly traded companies
  • Plan and coordinate complex domestic and international travel arrangements, including airline reservations, private aviation, lodging and ground transportation for members of the group as required
  • Arrange and prepare all internal and external meeting information in outlook (i.e. name, time/date, company, agenda, etc.).
  • Send out daily financial information and research notes

Business Responsibilities

  • Assist in preparation of profiles, agendas, bios and any additional research and brief documentation required in advance of meetings
  • Liaise with other senior staff, coordinate team meetings and organize information for conferences including registrations, logistics, printing and shipping of materials, scheduling/call set up
  • Distribute twice daily trading updates for equity and debt tranches of all Ares managed companies plus economic news and research summaries
  • Maintain up-to-date meeting materials for existing and prospective investor meetings and work with team to actively seek updates to materials as necessary
  • Scheduling webcasts, sending operator scripts, monitoring webcasts and printing materials for Earnings calls

Qualifications

Education: Bachelor’s degree or equivalent work experience required

Experience Required: 7+ years of experience in an administrative role, preferably in financial services and/or exposure to business development/investor relations

General Requirements:

The ideal candidate should have the following:

  • 7 years or more of experience
  • Financial Services experience
  • Strong phone etiquette and interpersonal communication skills
  • Familiarity with financial terms
  • Coordinate complex domestic and international travel
  • Experience in Office 2007 (Excel, Word, PowerPoint and Outlook)
  • Excellent writing and communication skills are required
  • Must be very organized
  • Take detailed and accurate minutes at board of director/partner meetings
  • Ability to multitask
  • Technology savvy and willing to learn new systems in a short period of time
  • Capacity to read and understand legal documents on a basic level (understand signature blocks)
  • Ability to work extended hours (beyond 9:00AM-6:00PM) during busy seasons

Compensation

The anticipated rate for this position is listed below. Total compensation may also include a discretionary performance-based bonus.

$65,000 - $80,000
