The Executive Assistant will directly support two Executive Board members (one full time and the other when they are in London) and support the Board Secretary in the running of Executive Board meetings.
While providing EA support to Executive Board members, the role holder will provide daily administrative and personal support, managing complex diaries, preparation for meetings, and ensuring the seamless functioning of executive and non-executive leadership. They may provide cover for other EA’s and support other senior team members as needed and will need to be present in the London office at least 3-4 days a week.
In supporting the effective running of the Executive Board, the role holder will support Board pack production and circulation and follow up of actions - proactively engaging with a wide range of internal and external partners to progress issues, some of which will be sensitive.
This role demands a high level of discretion, organisational skills, and attention to detail. It requires a flexible, dynamic approach; comfortable identifying and progressing tasks and issues without significant guidance or direction and a collaborative style to pick up tasks for colleagues during peak times or absence and working together as a team on leadership events across the business.
The Opportunity
- Diary Management, correspondence, record keeping, expense management, event management and document preparation.
- Managing the drafting of board papers and reporting and regular submissions required on behalf of Executive Board members.
- Support the Board Secretary in the preparation of Executive Board papers, including tracking and follow up of actions arising.
- Collaborate with colleagues, demonstrating a high degree of flexibility to ensure that the Executive are always supported to deliver their roles.
- Governance: Observe compliance with internal policies and external regulations.
- Research: Undertake research into key topics, assembling key information as required.
