We are seeking a capable and proactive Business Administrator to provide high‑quality administrative and business support to Groups and Teams, working closely with Senior Business Administrators and business leaders.

This role suits someone who enjoys working in a fast‑paced professional environment, takes pride in accuracy and process, and is motivated to continuously improve the way administrative services are delivered.

You will work with a level of autonomy within your scope, with guidance and direction where required, contributing to the effective operation of the business.

The Opportunity

As a Business Administrator, you will support teams across a broad range of administrative, commercial, and coordination activities, including:

Group and team support

  • Coordinate travel arrangements (where approved as a Travel Booker)
  • Support team events, meetings and workshops, including logistics and documentation
  • Support timesheets, P&C requests, training approvals and appraisals via Moodle
  • Assist with long‑term and short‑term assignments
  • Support senior colleagues in implementing business initiatives

Project and commercial support

  • Maintain CRM records, including job set‑ups, updates and close‑outs
  • Support confirmed job number applications and project administration
  • Generate client invoices and assist with debt collection and credit control

Document production

  • Format and compile group, project and client documents in line with Arup templates and style guidelines
  • Prepare PDFs of small, medium and large deliverables
  • Proofread and improve document quality, consistency and presentation

Is this role right for you?

  • Experience in administrative roles, ideally within a consulting, engineering, or built environment business.
  • Strong understanding of organizational processes, guidelines, best practices, and foundational awareness of health and safety best practice.
  • Ability to use Arup systems and a willingness to train others in them.
  • A detail-oriented and methodical approach with a focus on accuracy.
  • High accuracy in data entry, research and reporting
  • Excellent communication skills with a customer and solution-focused mindset.
