Be at the centre of shaping an exceptional workplace experience as the Workplace and Systems Administrator. This role leads the engagement initiatives, internal team system and digital tools that keep our Melbourne office running smoothly and positively every day. With autonomy and influence, you will drive continuous improvement across Front of House and Office Services, provide trusted advice to Workplace Leadership and ensure our spaces are secure, seamless and welcoming.

The Opportunity

  • Coordinate and deliver workplace activations across the Melbourne office that align with global and regional values and reflect the diversity of the workforce, working closely with Workplace & Facilities Supervisor and Events coordinator.
  • Welcome and assist visitors, clients, and staff at the concierge desk.
    Assist with processing OS requests, including onboarding new starters, managing visitors, and handling decommissions.
  • You will work autonomously to manage competing operational priorities across Front of House and Service Station functions, applying judgement to resolve issues within agreed frameworks.
  • You will be accountable for the accuracy, integrity and effective use of workplace systems and related data.

  • You will be required to work with minimal supervision in your area of responsibility, and you may be accountable for defined parts of projects.
    Conduct regular audits to identify inefficiencies and apply improvements.
  • Analyse experiene and occupancy data and insights to support Workplace & Facilities Leadership decision‑making.
  • Create and maintain MS Forms and manage PowerBI automations supporting Office Services and wider office use.

Is this role right for you?

  • Previous reception or customer service experience.
  • Previous experience in an administrative role.
  • Intermediate MS Office skills.
  • Ability to communicate with people at all levels in both technical and non-technical environments.
  • Effective written communication and writing skills.
  • Ability to maintain personal effectiveness particularly during periods of higher than normal workload.
