The Opportunity

This is a highly visible and impactful role for an experienced Office Manager who enjoys combining people leadership, facilities management and operational excellence. You will take ownership of the Milan office environment, lead the office support team, and act as a key link between local operations and central functions. Your work will directly shape how colleagues, visitors and partners experience Arup in Milan.

As an Office Manager at Arup, you will:

  • Lead and coordinate the day-to-day operations of the Milan office, ensuring a professional, welcoming and efficient working environment.

  • Manage the office facilities, overseeing ordinary maintenance, repairs and services, and coordinating external suppliers and building management.

  • Take responsibility for operational Health & Safety within the office, ensuring compliance with local regulations and Arup standards, in close coordination with the Health & Safety team.

  • Mentor and develop junior 3 members fostering a culture of collaboration and knowledge sharing.

  • Act as a key local contact for incidents, emergencies or operational issues affecting the office and support business continuity actions when required.

We're looking for someone who is passionate about creating highquality workplaces and supporting people to do their best work. We also value:

  • 5–10 years of experience in office and/or facilities management, preferably within a corporate or professional services environment.

  • A solid understanding of operational Health & Safety requirements in an office setting.

  • Experience managing suppliers, maintenance activities and service contracts.

  • People management or team coordination experience, with a collaborative and supportive leadership style.

  • Strong organisational, communication and stakeholdermanagement skills, with the ability to work autonomously and manage multiple priorities.
