The Opportunity
Provide robust support across the Mids-West geography, with focus on the Cardiff and Bristol office as part of the Workplace Facilities Management Team. This role supports the delivery of a high-quality workplace experience while assisting with the day-to-day coordination of hard and soft facilities services. Working as part of the Workplace & Facilities Management (WFM) team, the role focuses on providing strong operational support, ensuring a safe, clean, and well-functioning office environment, and delivering excellent service to staff and visitors. This is a hybrid role, based the Cardiff office with regular travel to other offices (approximately 2 days per week or as required).
Key responsibilities:
Workplace Experience & Front-of-House
- Provide a professional front-of-house service, greeting visitors and ensuring Health & Safety procedures are followed.
- Support the coordination and delivery of internal and client events.
- Assist with meeting room bookings, setup, AV coordination, and hospitality.
- Maintain a high standard of presentation across office and meeting spaces.
Facilities & Contractor Support
- Support the coordination of hard and soft services (e.g. cleaning, maintenance, catering, security).
- Assist with contractor management processes, including inductions and documentation checks.
- Track contractor visits and support planned and reactive works.
- Escalate issues or service failures to senior team members where required.
Health, Safety & Compliance
- Maintain awareness of Health & Safety requirements and support a safe working environment.
- Assist with permits, contractor RAMS checks, and compliance processes under guidance.
- Support audits, inspections, and updates to required HSE records.
- Act as First Aid / Fire Marshal where required (or willingness to train).
Administration & Office Support
- Provide general administrative support including data entry, document management, and reporting.
- Manage post, couriers, stationery, and office supplies.
- Report maintenance issues and liaise with relevant teams (DT, AV, WFM).
- Support systems such as booking platforms and CAFM tools (where applicable).
Team & Stakeholder Support
- Work collaboratively with WFM colleagues to support consistent service delivery across sites.
- Build effective working relationships with internal teams and service providers.
- Provide support across multiple office locations where required.
Is this role right for you?
- Experience in hard and/or soft services, with the ambition to develop skills across both areas through training
- Strong customer service and communication skills
- Be experienced in standard office administrative procedures, including Microsoft packages
- Good organisational skills
- Ability to manage multiple tasks and priorities
- Proactive, flexible, and team-oriented
- Attention to detail
- Expertise with booking systems including Concur, CAFM System and Condeco would be advantageous.
- First Aid & Fire Marshal trained or desire to be.
- IOSH Managing Safely qualified or desire to be.
- Manual handling training will be provided.
