As a Senior Specialist in Office Services, you will play a central role in ensuring our workplace runs smoothly, efficiently, and to the highest standards — every single day.

WHO YOU'LL WORK WITH

You'll join our Office Services team and work closely with colleagues across the firm, including Finance, HR, the Events team, and external partners such as the Property Manager and General Contractor. You will be a key point of reference for all matters related to facilities, vendor management, and workplace operations.

WHAT YOU'LL DO

VENDORS & CONTRACTS

  • Manage maintenance contract renewals (September–November cycle)
  • Oversee ongoing relationships with vendors, Property Manager, and General Contractor
  • Review and reconcile work reports against budgets; manage print orders

FACILITIES & WORKSPACE

  • Supervise routine and extraordinary office maintenance
  • Monitor floor conditions and manage operational requests
  • Coordinate space setup for internal events (Town Hall, DH, Canteen)

CANTEEN & CATERING

  • Oversee Canteen Lunch service and manage the Vicook portal
  • Handle service registration, no-shows, and badge charges
  • Manage equipment maintenance and water quality monitoring

HEALTH, SAFETY & COMPLIANCE

  • Maintain workplace safety documentation in compliance with D.Lgs. 81/2008
  • Manage, track, and dispose of company assets and consumables

OPERATIONS & TOOLS

  • Manage Lockers and Deliveroo accounts; handle stationery and supply orders
  • Verify delivery notes, manage printing and binding, prepare materials for events

ABOUT YOU

EXPERIENCE

3–5 years in Office Services or Facility Management

Proven vendor and contract management experience

Degree in Business Administration or related field

TECHNICAL SKILLS

Microsoft Office (Excel, Outlook, Word)

Knowledge of D.Lgs. 81/2008

Digital platforms (Vicook, Deliveroo)

Professional fluency in Italian and English

SOFT SKILLS

Strong organizational skills and attention to detail

Problem-solving mindset and ability to work independently

Collaborative and cross-functional approach
