WHO YOU’LL WORK WITH
You’ll join Bain’s Global Assistant Program, based in either our GBS Warsaw or Lisbon office, supporting Partners and senior stakeholders across the EMEA region. You’ll be part of a collaborative assistant community that plays a critical role in helping our leaders serve clients, manage priorities and work effectively across markets.
WHERE YOU’LL FIT WITHIN THE TEAM
As an Executive Assistant, you’ll provide comprehensive administrative, secretarial and organizational support to a group of Bain Partners. These Partners are responsible for developing client relationships and leading the work of Bain consulting teams.
This role is ideal for someone who thrives in a fast-paced, team-oriented environment where ownership, discretion and proactive communication are essential. You’ll help Partners stay focused on their highest priorities by managing complex schedules, coordinating travel, supporting client development activity and keeping work moving across time zones.
WHAT YOU’LL DO
• You’ll manage multiple complex and constantly evolving diaries and schedules, proactively anticipating conflicts, changes, risks and roadblocks. You’ll use sound judgment to adjust priorities, reschedule meetings and travel across time zones at short notice, recommend practical solutions with minimal supervision and keep stakeholders informed in a timely and professional way.
• You’ll coordinate sophisticated travel arrangements, including the timely procurement of visas and other travel documentation. You’ll provide clear, detailed travel itineraries and supporting materials ahead of each trip.
• You’ll manage incoming communications across phone, email, Microsoft Teams and other channels, drafting responses, redirecting items as appropriate and flagging urgent actions or follow-up needs.
• You’ll build and maintain strong working relationships with clients and colleagues at all levels across EMEA. You’ll act as a trusted partner and discreet sounding board, handling confidential and sensitive information with professionalism and care.
• You’ll proactively support Partners in client development and relationship-building efforts. This includes maintaining an understanding of priority contacts, target companies and relationship goals; coordinating client meetings and engagement activities; managing communication with client assistants and stakeholders; arranging preparatory meetings, lunches, dinners and events; reviewing contact priorities with Partners; and following up professionally to maintain momentum.
• You’ll use CRM and digital mailing systems, including Cortex, in line with best practices. This includes timely and accurate creation and updating of contact information according to global data standards and active maintenance of Partner mailing lists.
• You’ll serve as a CRM champion by educating Partners on best practices, supporting newer Executive Assistants and Management Assistants, and providing feedback to the Local CRM Administrator.
• You’ll prepare and amend PowerPoint presentations for client presentations and internal meetings, as well as support Excel and Word documents as needed. You’ll ensure written materials are clear, accurate and tailored to the audience.
• You’ll provide regular communication updates, including diary overviews and prioritized action lists, and proactively take on tasks that help Partners use their time effectively.
• You’ll organize conferences, events and internal meetings, including associated logistics. You’ll also manage expenses, timesheets and mileage reporting in line with global expense policies.
• You’ll provide support and cover for other Assistants, sharing knowledge and helping the team manage capacity during short-term or planned absences.
• You’ll contribute to internal projects, including office-wide initiatives and other responsibilities aligned with the role’s objectives.
• You’ll look for opportunities to improve processes, simplify ways of working and implement more efficient administrative practices. You’ll also stay curious about AI and evolving technologies, exploring tools and digital solutions that can improve productivity, communication, scheduling and client service while checking outputs carefully and following Bain policies on responsible use.
ABOUT YOU
• You have proven experience as an Executive Assistant or Personal Assistant supporting multiple senior stakeholders in a demanding environment.
• You are fluent in English and Danish, with strong written and spoken communication skills in both languages.
• You are highly organized and able to manage deadlines, prioritize assignments and handle multiple tasks at once.
• You are professional, reliable and discreet, with sound judgment and the ability to handle confidential information appropriately.
• You bring excellent customer service, communication and listening skills.
• You are confident and friendly when communicating with people at all levels, both internally and externally.
• You are flexible, positive and calm under pressure, with a strong team mindset.
• You are detail-focused and able to work proactively and independently.
• You are comfortable managing priorities across stakeholders, regions and time zones.
• You have advanced proficiency in Microsoft Outlook and Word, and intermediate proficiency in Excel and PowerPoint.
• You are collaborative and inclusive in your working style, with a willingness to share knowledge and support others.
• A bachelor’s degree, or an equivalent combination of education and experience, is preferred.
