Objectives of the Position
To support in the successful delivery of strategic projects and initiatives within the Global Business Services Supply Chain unit by leading smaller-scale projects independently, ensuring effective planning, execution, and stakeholder communication. This role also involves promoting best practices in collaboration with service units and the global supply chain excellence team, while contributing to the development of project management capabilities among team members.
Main Areas of Responsibilities and Key Activities
Project Planning and Coordination:
- Assist in the development of project plans and short-term initiatives, including defining the scope, objectives, and deliverables.
- Collaborate with project team members to ensure tasks are completed efficiently, according to agreed timelines.
- Organize and participate in project meetings, preparing agendas and document meeting minutes.
Documentation and Reporting:
- Maintain accurate and up-to-date project documentation, including project plans, status reports, and meeting minutes.
- Provide regular reports to the management team, project sponsors, project managers and other stakeholders, ensuring the reports are well-structured, concise, and tailored to the intended audience (management level, working level, etc.).
- Use project management tools and software to track tasks, deadlines, and deliverables.
Task Tracking and Monitoring:
- Monitor progress and flag potential risks or delays to the project lead.
- Update project schedules as needed and communicate any changes to the project plan.
- Ensure that all tasks are completed on time and within budget.
Communication and Stakeholder Support:
- Serve as a point of contact among project teams, stakeholders, and external partners.
- Communicate project updates, requirements, and milestones to ensure transparency and alignment.
- Maintain regular communication with stakeholders to provide project updates, gather feedback, and address any concerns.
Risk Management:
- Identify potential project risks and assist in developing mitigation strategies.
- Monitor and report on risk status throughout the project lifecycle.
- Implement risk mitigation plans as needed.
Quality Assurance:
- Ensure that project deliverables meet quality standards and requirements.
- Plan and conduct regular quality checks and address any issues that arise in a timely manner to avoid backlogs.
- Implement corrective actions to resolve quality issues.
Team Support:
- Provide support to project team members working together on initiatives, including assisting with task completion, resolving issues, and facilitating communication.
- Foster a collaborative and productive team environment.
- Encourage team members to share ideas and feedback.
Continuous Improvement:
- Participate in post-project reviews and lessons learned sessions.
- Identify opportunities and contribute ideas for improving project processes, tools, and team collaboration.
- Stay updated on industry best practices and incorporate them into project management activities.
What You Need Is
Education
- Degree in supply chain management (logistics, transportation, international trade deliveries), business administration, international business. Other tertiary education can be considered with the availability of professional experience
Working Experience
- For Specialist minimum 2 to 3 years and Senior Executive minimum 4 -5 years of project management experience
- Demonstrated success in working in a complex work group of about 5-15 people
- Profound knowledge of SAP and its processes as well as experience in implementation is an advantage
- Experience in supporting operations of a shared service center or global business services
- Good analytical skills; experience working with big data is a plus
- Has experience in working and/or managing global/region projects virtually Process implementation and tools/application familiarity incl. change management and digital applications for supply chain
Technical & Professional Knowledge
- Strong customer and service orientation, proactive seeks solutions and takes ownership of assigned tasks
- High proficiency in verbal and written English
- Strong organizational and time management skills. Able to multi-task and prioritize effectively
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication and presentation skills. Able to produce impactful presentation slides in a short turnaround time
- Attention to detail – reviews work carefully to ensure accuracy
- Able to work both independently and collaboratively & respectfully with peers (team/group), contributing to a positive working environment
- Experience with ERP in supply chain preferred (SAP or other ERP)
- Innovation orientation and openness for automation and digitalization
- High level of professionalism and confidentiality
- Self-motivated and takes ownership for own professional growth and ongoing learning & development
