About the Role
Reporting to Senior Administrative Assistant, Global Personal Care, you will:
Support the regional teams in Hong Kong and other locations by providing secretarial and administrative assistance, along with general office duties. Provide support to the Vice President and Regional Team Heads with travel arrangements, scheduling, and other tasks, some of which may be confidential in nature.
How You Will Do It
- Provide comprehensive secretarial and administrative support to senior executives and global/regional team heads.
- Manage appointments and travel calendars, organize business travel arrangements (hotel reservations, ticketing, and travel document applications), and daily office operations (IT, mailing) as well as project coordination as assigned
- Handle confidential information to ensure data security.
- Regularly check and maintain general supplies and stationery.
- Assist in orienting new staff and coordinating for smooth onboarding activities.
- Coordinate with HR team for general personnel affairs related matters
- Manage invoice payments, expense reimbursements, and budget analysis, ensuring compliance with company policies and documentations.
- Support global/regional teams in organizing internal and external events, providing logistical assistance, and handling travel arrangements.
- Assist in implementing company policies and provide basic support for collaborative tools and troubleshooting.
- Support ad hoc tasks and projects as assigned.
What We Look For
- Minimum of 3 years of relevant experience, preferably in a multinational environment or in a team support role
- Attention to detail, proactive and self-motivated, with the ability to work independently under pressure and collaboratively as part of a team
- Proficiency in Microsoft Office and a basic understanding of SAP applications
- Good command of written and spoken English
