Objectives of the Position

  • To ensure accurate and timely monitoring, verification, and documentation of third-party inbound shipments, maintaining compliance with internal processes and external regulations.

Main Areas of Responsibilities and Key Activities

Shipment Monitoring & Scheduling

  • Follow up with third-party suppliers for shipment schedules after PO release.
  • Update shipment details in GIMA and ensure visibility for stakeholders.
  • Coordinate with buyers and forwarders for E/F incoterm shipments.

Documentation Verification

  • Collect and verify shipping documents (Invoice, Packing List, BL, COA, COO) from suppliers.
  • Upload verified documents to SharePoint and ensure correct version control.
  • Escalate discrepancies in shipping documents to P2P_PS or suppliers for resolution.

Compliance & Escalation

  • Ensure adherence to internal SOP timelines for document retrieval and upload.
  • Manage exceptions and escalate unresolved issues to relevant teams promptly.
  • Maintain audit-ready records in line with retention policies.

Stakeholder Communication

  • Act as the primary contact for LLP, LSP+, and customs brokers regarding document availability.
  • Notify stakeholders of revised documents and maintain clear communication channels.
  • Support cross-functional alignment on shipment timelines and issue resolution.

Requirements

Education

  • Degree / Diploma (with relevant work experience) in Logistics/Supply Chain/Business Management or related field

Working Experience

  • 1-3 years in handling Import/Export logistics / order management & documentation, liaison with logistics service providers.
  • Experience in SAP and chemical industry preferred

Technical & Professional Knowledge

  • Efficient in MS Office applications such as Excel, PowerPoint and Word
  • Familiarity with SAP S4, GIMA, SharePoint, and document management systems.
  • Knowledge in SAP system (Transport Management & Material Management Module) preferred.
  • Ability to identify discrepancies in shipping documents and resolve issues efficiently.
  • Strong written and verbal communication for coordination across regions.
  • High accuracy in document verification and data entry.
  • Proactive team member who takes ownership and shows persistence to achieve results and exceed expectations.
  • Ability to work independently on problem solving and identifying solutions.
  • Good interpersonal skills and a team player
  • Good command of written and spoken English is necessity.
