The Executive Assistant (EA) will coordinate the administrative functions for two to three C-suite executives that are a part of the Beckman Coulter Life Sciences Leadership Team. The EA handles confidential assignments that require tact and diplomacy, prioritize fluctuating work requirements, schedules and maintains executives’ heavy calendaring, coordinating travel and meeting arrangements as needed. Prepare presentations using appropriate software applications. Maintain a high level of discretion & confidentiality (correspondence, personnel issues, etc.)

This position reports to the Lead Executive Assistant and is part of the Beckman Coulter Life Sciences organization located in Indianapolis, Indiana and will work on-site in either your choice of Indianapolis, IN or Loveland, CO.

In this role, you will have the opportunity to:

  • Manage Outlook calendars (including prioritizing fluctuating schedules). Process expense reports.

  • Coordinate travel arrangements via Concur (domestic and international) per travel policy to include flights, hotel, trains, car service, and assistance with obtaining visas as applicable.

  • Coordinate internal/external meetings advising all participants of the purpose, location, and preparation required.

  • Ensure presentations are available prior to the start of meetings and ensure meeting minutes are published within two days after the meetings. Order catering for meetings when necessary.

The selected candidate will possess the following:

  • Excellent communication skills: both written and verbal.

  • Ability to maintain a high level of confidentiality and discretion regarding business and associate matters.

  • Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook

The essential requirements of the job include:

  • A high school diploma or equivalent

  • A minimum of five years’ experience supporting an executive in a fast-paced environment

The salary range for this role is $70,000-90,000. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.
