Role and Responsibilities

The Administrative Assistant role entails providing support and partnership to the Portfolio Operations Talent and Organizational Performance team, primarily the Global Head/SMD. Responsibilities include:

  • Manage heavy calendar scheduling; plan complex meetings, calls and travel arrangements including domestic and international travel

  • Coordinate all logistics for internal and external meetings

  • Track business expenses and prepare expense reports

  • Receive, screen and route all incoming telephone calls, mail and correspondence

  • Help team with hosting meetings and events

  • Execute contracts on behalf of the team

  • Using good judgment, redirect inquiries to other members of team as appropriate

  • Independently determine when to pull an executive out of a meeting to address a different matter the EA feels is urgent and important

  • Supervise other employees’ administrative assistants, including training and onboarding responsibilities and/or performance reviews

  • Approve expenses under a set amount

  • In office 4 days per week, with the option to work remotely 1 day per week if desired

  • Role may require some work after regular business hours for time-sensitive tasks

  • Ad hoc projects

Qualifications

Blackstone seeks to hire individuals who work well in a team-driven environment, are highly motivated, work hard and smart, have sound judgment and who have demonstrated excellence in prior endeavors.

The successful candidate should have:

  • 7+ years of experience supporting C-suite executives, preferably in a professional-services environment; experience in executive search ideal

  • Exceptional interpersonal and communications skills; ability to interact with talent at all levels and of all backgrounds within the firm and beyond its walls

  • Meticulous attention to detail; extremely organized

  • Proactive self-starter and problem solver with strong sense of urgency, ownership, and follow-through

  • Ability to work autonomously, multitask, prioritize, and respond timely; adaptive to changing priorities and requirements

  • Discretion in handling confidential information with utmost integrity

  • Positive, can-do and professional attitude with ability to work well in a dynamic environment

  • Advanced knowledge of Microsoft Office (especially Excel, PowerPoint, and Outlook); familiarity with Concur is preferred

Expected annual base salary range:

$70,000 - $100,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.

Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
