Blackstone Credit & Insurance
Blackstone Credit & Insurance (“BXCI”) is one of the world’s leading credit investors. Office Management
o Day to day management of the facilities:
- Manage the office condition and arrange necessary repairs
- Organise the office layout and order stationery and equipment
- Address employees queries regarding office management issues
- Liaise with facility management vendors, including cleaning, catering and security services, IT services
- Coordinate with the Global Corporate Services department in London
- Assist in the onboarding process for new hires
- Ensure that reception is covered to welcome scheduled visitors
Executive Assistant
Provide high level support to SMD & MD & ad hoc support to an Associate
- Manage calendar: meetings, calls, travels etc.
- Screen, and where necessary act upon, all email communications (both internal & external)
- Field all telephone calls
- Act as gatekeeper for professionals
- Extensive diary management
- Coordinate internal and external meetings
- Track professionals’ geographical location for tax purposes
- Manage general personal and professional administration of a highly confidential and sensitive nature
- Organise all travel itineraries and arrangements, often complex
- Regular co-ordination of conference (audio & video) calls
- Monthly reconciliation of professionals’ expenses, both corporate and personal
- Responsible for the timely & accurate coding and submission of all legal invoices
- Maintenance of contacts database
- Ad hoc duties as needed
Qualifications
- Ability to act autonomously when appropriate and know when to escalate matters
- Strong communication skills; highly organized with strong attention to detail
- Team player – energetic, enthusiastic and personable
- Ability to multi-task and prioritize completing tasks and meeting deadlines
- Perform duties with the highest level of confidentiality and integrity
- Experience with coordinating travel arrangements.
- Strong Microsoft Office skills
- Fluent in English and Italian, both written and oral
