Job Description:

The Executive Assistant role entails providing support to the Global Head of Institutional Solutions for BXMA and other senior members of the team. This person will primarily be responsible for scheduling and will handle additional responsibilities as noted below.

  • Extensive calendar management: scheduling internal and external appointments

  • Manage global travel planning, scheduling and itineraries

  • Answering calls and acting as a gatekeeper

  • Oversee and plan weekly and monthly meetings

  • Liaise closely with other assistants on all business scheduling

  • Liaise with other organizations for scheduling and projects

  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system

  • Update and maintain travel spreadsheet and organize trip packets for travel

  • Track incoming requests for information

  • Assist with business expense management in Concur

  • Methodically maintain and organize internal audit folders and files

  • Acting as back-up support for other senior professionals

  • Planning various team lunches and events

  • Coordinate delivery of prep materials to management for upcoming client meetings

  • Opportunity exists for other project work in addition to providing high quality support to key team members

Qualifications:

  • Ability to work with various level of management

  • Excellent written and verbal communication skills

  • Motivated and enthusiastic attitude

  • Ability to multi-task and prioritize completing tasks and meeting deadlines

  • Ability to perform duties with the highest level of confidentiality and professional integrity

  • Experience with coordinating travel arrangements

  • Advanced Microsoft Office skills (PowerPoint, Excel, Outlook); must have experience with editing PowerPoint presentations and have extensive familiarity and experience with Microsoft Office suite

  • Familiarity with Concur

Expected annual base salary range:

$130,000 - $165,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.

Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
