Job Responsibilities:

  • Handle general professional administration with a high level of efficiency, confidentiality and sensitivity

  • Extensive diary management

  • Coordinate of internal and external meetings and conference calls

  • Manage domestic roadshows

  • Organise complex international travel itineraries

  • Professional and skilled at email, phone and video communication (internal and external)

  • Perform monthly reconciliation of professionals’ expenses

  • Liaise with international offices, clients, and external consultants

Skills and experience in a marketing/distribution team would be helpful as key activities include:

  • Organise client meetings and other events both in Australia and internationally

  • Full logistics management for domestic roadshows and events (presentation materials, meeting arrangement, travel, confirmations, etc)

  • Co-ordinate and/or support with colleagues in international offices (particularly New York and London)

  • Creation of agendas, materials, etc for bi-weekly team meetings

  • Log and supervise marketing materials and other supervisory requirements

Qualifications:

Blackstone seeks to hire individuals who work well in a team-driven working group, are highly motivated, intelligent, have sound judgment, ability to handle multiple tasks under pressure, and have demonstrated excellence in prior endeavors.

The successful candidate must have:

  • Advanced proficiency in the Microsoft Office Suite, particularly Calendar and Teams (ideally also Concur and SalesForce)

  • Exceptional time management and organisational skills

  • High attention to detail

  • Experience of working with sales teams and investors

  • Superior communication and interpersonal skills

  • Experience with running complex meeting schedules (roadshow and event management experience would be highly beneficial)

  • Ability to support multiple professionals, multitask and prioritize time-sensitive work

  • Ability to thrive in a small team environment

  • Office/team management experience
