SEA Event & Program Lead (6-month contract)

What You'll Do
Reporting to the Travel and Events Senior Manager, you will lead the end-to-end planning and execution of the annual BCG SEA employee gathering. You will act as both a strategic partner and the overall event lead, ensuring successful delivery from concept through execution. This is a multi-day event that brings together 1,000+ employees across BCG Southeast Asia for connection, learning, and collaboration. You will oversee all aspects of delivery, including destination contracting, travel logistics, hotel management, budgeting, stakeholder engagement, and on-site execution.
Program & Project Management
- Lead delivery of the annual BCG SEA employee gathering (typically 800–1000 attendees)
- Own the full event lifecycle from concept through execution and post-event evaluation
- Translate objectives into clear project plans, timelines, milestones, and KPIs
- Manage multiple workstreams to ensure alignment, quality, and timely delivery
- Track progress, risks, dependencies, and key decisions
Stakeholder Management
- Act as the main point of contact and advisor to senior stakeholders and internal clients
- Manage expectations, trade-offs, and scope effectively
- Provide regular updates, highlight risks, and support decision-making
Operations & Delivery
- Oversee all logistics including venue selection, space planning, technology, production, and on-site execution
- Ensure alignment with internal guidelines, brand standards, sustainability goals, and inclusion commitments
- Collaborate with internal teams such as Safety & Security, Travel, Design, Digital, Finance, and Legal
Risk & Compliance
- Identify and mitigate operational, financial, reputational, and safety risks
- Ensure compliance with internal policies, legal requirements, and data privacy standards
- Develop contingency plans across in-person, virtual, and hybrid formats
Team & Vendor Management
- Lead internal teams and external partners (e.g., agencies, production vendors, freelancers)
- Provide direction, coaching, and feedback
- Delegate effectively while maintaining accountability
Budget Management
- Own the event budget, including forecasting, tracking, and reporting
- Balance cost control with experience quality and risk management
- Support supplier negotiations to achieve best value

Experience & Qualifications
- Bachelor’s degree or equivalent experience
- 6–8+ years of experience in event or program management, ideally in a corporate environment
- Proven experience delivering large-scale, high-visibility events
- Strong leadership and stakeholder management skills
- Excellent written and verbal communication skills in English
- Technical & Functional Skills
- Strong knowledge of event delivery (logistics, production, accommodation, F&B, and experience design)
- Proficiency with event and project management tools (e.g., Cvent or similar platforms)
- Strong Excel skills for budgeting and analysis
- Solid understanding of contracting, vendor management, and risk management
