What You'll Do

As an Office Experience & Events Specialist at BCG’s Nexus Costa Rica office, you'll independently deliver outstanding workplace experiences and coordinate engaging events that reflect our culture and values. In this dual role, you'll manage daily office operations and lead event planning from concept to completion. Working closely with internal teams and external vendors, you'll ensure a seamless, professional office environment while fostering employee connection and engagement.

Key responsibilities include:

  • Managing daily office operations, maintaining and enhancing the cleanliness, appearance, and functionality of shared spaces, kitchens, and conference rooms.
  • Overseeing vendor relationships, coordinating routine and specialized maintenance, promptly addressing operational issues, and tracking facility improvements.
  • Managing office supplies, including procurement, inventory tracking, budgeting, and forecasting for office, kitchen, and event-related needs.
  • Planning and executing internal events ranging from large-scale celebrations to smaller meetings and gatherings, handling logistics such as catering, setup, AV coordination, communications, and on-site management.
  • Serving as a primary liaison between internal teams (Facilities, IT, Concierge, Admin Services) to ensure smooth operations and seamless event execution.
  • Developing and managing event communications, including creating invitations, handling RSVPs, outreach, and analyzing attendee feedback.
  • Managing event budgets, processing invoices, negotiating with vendors, and reconciling expenses.
  • Contributing to strategic Office Experience projects, recommending innovative ideas, and driving improvements to enhance workplace satisfaction and employee experience.
  • Acting as the first point of contact for clients, visitors, and staff, setting the tone for the overall office experience in this highly visible role.
  • Greeting visitors professionally, handling guest registration, escorting, and providing visitor information and amenities during their visit.
  • Assisting employees and visitors with navigating office spaces, utilizing the desk reservation system, and facilitating guest IT access (e.g., Wi-Fi, badges).
  • Monitoring the concierge inbox, managing visitor access requests, and printing employee and guest badges while ensuring compliance with security protocols.
  • Triaging and communicating meeting-support requests, such as IT needs or administrative support, to relevant teams for timely execution.

You're good at:

  • Managing complex workplace operations and events independently, with strong organizational skills, attention to detail, and proactive problem-solving.
  • Providing thoughtful, hospitality-focused service with urgency, professionalism, and adaptability in a fast-paced environment.
  • Communicating clearly, effectively, and diplomatically across all organizational levels, tailoring your messaging appropriately to different stakeholders.
  • Anticipating needs, identifying opportunities to enhance processes, events, and the overall office experience, and recommending creative solutions.
  • Collaborating effectively across multiple teams, successfully managing expectations, and thriving in complex organizational structures.
  • Demonstrating sound judgment, flexibility, and composure when handling last-minute changes or unexpected challenges, and effectively prioritizing tasks.
  • Building trusted relationships with colleagues, leadership, and external vendors through strong interpersonal skills.
  • Providing mentorship, guidance, and constructive feedback to junior colleagues to support their growth and ensure consistent, high-quality performance.
  • Consistently representing BCG’s values by maintaining integrity, confidentiality, discretion, and professionalism in all interactions.

What You'll Bring

  • Bachelor’s degree strongly preferred.
  • 2-4 years of experience in office operations, event coordination, administrative support, or hospitality, ideally within a professional services or client-facing environment.
  • Proven experience coordinating logistics, managing vendor relationships, and executing internal events and workplace activities.
  • Ability to independently handle operational tasks and proactively resolve issues.
  • Proficiency with Microsoft Office Suite; willingness and ability to quickly learn new systems and technologies.
  • Exceptional organizational skills, attention to detail, and excellent verbal and written communication.
  • Experience managing budgets, tracking expenses, and efficiently coordinating resources.
  • Flexibility to occasionally work overtime, particularly during events or busy periods, with required in-office presence five days per week.
