What You'll Do

Enterprise Services (ES) was established in 2022 to provide efficient, resilient, and scalable services to support the evolving needs and complexities of a more digital BCG. ES brings together business-critical operations - such as Procurement & Payables, Global Finance Operations, and Executive Support Services - alongside specialist expertise including Real Estate, Travel, and Meetings & Events. United by a common service mindset, ES enables every BCGer to focus on the work that matters most by giving time and energy back through streamlined, reliable service delivery. In doing so, ES creates cost advantage and strengthens BCG’s market differentiation, while reducing risk through consistent controls and business continuity. Through scalable platforms and globally integrated ways of working across our strategic core global hubs, Enterprise Services enhances agility and helps unlock the potential of those who advance the world.

Within Meetings & Events (M&E), BCG's rapid growth and transformation has driven the team to evolve to meet the demands of an increasingly complex global event portfolio — building more rigorous operational infrastructure, scaling contingent workforce capabilities, and embedding technology and innovation into how we plan and deliver events worldwide. The team approaches this work with an entrepreneurial, data-driven, and customer-centric mindset, always questioning the status quo and proactively seeking opportunities for improvement, while reinforcing an inclusive culture grounded in collaboration, continuous learning, and adaptability.

The M&E Staffing & Operations Senior Coordinator provides essential administrative and operational support to M&E's staffing function, working closely with the Global Events Management (GEMs) Staffing & Operations Team and under the direction of the M&E Management, Senior Manager. This role ensures that the administrative and operational foundations of the staffing function are executed accurately and consistently — managing the tools the team relies on, overseeing the administrative lifecycle of contingent workers and contracts, and taking full responsibility for the GEMs volunteer network program. In addition to staffing support, this role contributes to broader operational initiatives as directed.

Key areas of responsibility include (but are not limited to):

  • Tool Maintenance & Data Hygiene: Maintain and ensure the reliability of operational tools across the staffing function and broader GEM team — including trackers, dashboards, hours tracking tools, and any future platforms. Ensure data is accurately maintained, consistently formatted, and up to date so the team can trust what they are working from.
  • Administrative & Financial Lifecycle: Execute the administrative lifecycle of staffing engagements, including contracting, invoicing, payment processing, and expense approvals. Ensure all administrative steps are completed accurately, on time, and in compliance with M&E's operational and financial standards.
  • Contingent Worker Onboarding & Lifecycle Administration: Coordinate the end-to-end administrative lifecycle of contingent workers, including system setup, onboarding documentation, hours tracking, compliance requirements, and offboarding. Serve as a reliable point of contact for CWs on administrative matters.
  • Volunteer Network Program: Manage the coordination and governance of M&E's internal volunteer pool, including volunteer intake, database maintenance, communications, logistics, and ensuring the program operates against defined processes and standards.
  • Cross-Functional & Initiative Support: Provide coordination and administrative support to cross-portfolio operational initiatives and projects as directed by the Meetings and Events Management, Senior Manager, contributing to process documentation, data gathering, and implementation tracking.
  • Process & Tool Innovation: Bring curiosity and initiative to identify opportunities to reduce manual effort and improve consistency across operational tools and administrative processes. Actively explore how AI and automation can enhance day-to-day tasks.

YOU’RE GOOD AT

  • You are highly organized and detail-oriented — you take pride in keeping data accurate, tools running reliably, and allowing nothing to fall through the cracks.
  • You are comfortable working with operational tools and data, maintaining trackers and platforms, and flagging when something looks off, while bringing structure and consistency to defined processes and looking for ways to improve them over time.
  • You are curious about technology and AI tools, and you actively look for ways to reduce manual effort and work more efficiently.
  • You have a service mindset — you are responsive, reliable, and focused on making things easier for the people and teams you support, managing multiple administrative tasks and priorities simultaneously without losing sight of the detail.
  • You communicate clearly and proactively, build trust quickly, and thrive in a globally dispersed, virtual environment — keeping stakeholders informed and following up without being prompted.

What You'll Bring

  • Bachelor's Degree or equivalent in Business, Operations, Administration, or a related field, with 4–6 years of relevant experience in operations, administration, project coordination, or a related field; experience in a professional services, events, or service delivery environment is a plus.
  • Demonstrated experience maintaining operational tools, trackers, and databases with a high level of accuracy and attention to detail, alongside comfort with administrative financial processes including invoicing, payments, and expense management; experience with vendor or contractor administration is a plus.
  • Strong organizational and time management skills with the ability to handle multiple priorities in a fast-paced environment, and excellent written and verbal communication skills in English; additional languages are a plus.
  • Familiarity with project management or workflow tools, with genuine interest in or experience with AI-assisted workflows and automation.
  • Experience working in or with globally dispersed, virtual teams preferred.

Who You'll Work With

You will work closely with the Meetings and Events Management, Senior Manager. You will collaborate regularly with the broader global event management team, the supplier management team, and external staffing agencies, as well as internal stakeholders across finance, legal, and contingent worker networks globally.
