The Senior Executive Assistant is a highly visible and trusted partner to senior leadership, providing seamless executive support in a fast-paced, dynamic and high-performing environment. This role offers extensive exposure to senior stakeholders across the organization, including regional leadership, C-suite executives, clients and external partners.

As a key member of the leadership support team, the individual will contribute to the effectiveness and efficiency of executive decision-making by managing competing priorities, facilitating communication and ensuring flawless execution of day-to-day operations.

Key Responsibilities

  • Provide dedicated support to Managing Director-level executive(s) with regional oversight and strategic leadership responsibilities, while supporting broader departmental initiatives.
  • Serve as a trusted partner and gatekeeper, proactively managing an exceptionally complex calendar across multiple time zones, business priorities and senior stakeholders.
  • Coordinate and facilitate high-profile meetings, leadership forums, client engagements, board-level discussions and executive committee activities.
  • Manage interactions with senior internal and external stakeholders, including C-suite executives and key business leaders across the organization.
  • Anticipate executive needs, identify scheduling conflicts and proactively recommend solutions to optimize productivity and business effectiveness.
  • Prepare, review and coordinate presentation materials, meeting briefing packs, correspondence and business documentation for senior management discussions.
  • Support executive communications and ensure timely follow-up on key action items and deliverables.
  • Coordinate complex international and regional travel arrangements, including detailed itineraries, meeting schedules and contingency planning.
  • Prepare, reconcile and monitor travel and entertainment expenses with a high degree of accuracy and compliance.
  • Assist with the creation and maintenance of presentations, spreadsheets, reports and other business-critical documents.
  • Manage procurement requests, invoice processing and administrative workflows.
  • Support special projects, business initiatives and leadership events as required.
  • Act as a resource and mentor to junior administrative professionals, sharing best practices and fostering team collaboration.
  • Demonstrate strong risk and controls awareness, ensuring adherence to all applicable policies, procedures and regulatory requirements.

Qualifications

  • Proven Executive Assistant experience supporting senior executives, preferably within investment banking, financial services or another complex global organization.
  • Experience supporting Managing Directors, Regional Heads, C-suite executives or equivalent senior leadership teams is highly preferred.
  • Ability to manage multiple priorities simultaneously while maintaining exceptional attention to detail and accuracy.
  • Demonstrated proficiency in Microsoft Office Suite, including PowerPoint, Excel and Outlook.
  • Strong written and verbal communication skills with the confidence to engage effectively with senior stakeholders.
  • Highly organized, proactive and solutions-oriented, with the ability to anticipate needs before they arise.
  • Strong judgment, professionalism and discretion when handling confidential information.
  • Comfortable operating in a fast-paced, deadline-driven environment with changing priorities.

Education

Bachelor's Degree or equivalent professional experience.
