About the Position:

We are seeking an experienced and highly capable Senior Division Administrator to lead the financial, operational, administrative, and HR functions of the Columbia University Fertility Center. This position plays a central role in supporting clinical excellence, patient experience, and staff engagement across all CUFC sites.

Reporting directly to the Departmental Administrator and Division Chief and working in partnership with the Department of OB/GYN leadership, the Senior Division Administrator will oversee a broad portfolio of responsibilities including team management, workflow optimization, compliance, scheduling, and daily operations.

This is a highly hands-on role requiring strong leadership, excellent judgment, and the ability to coordinate across multiple teams and departments.

Responsibilities

Operational Oversight

  • Direct daily operations across CUFC sites, ensuring smooth and efficient coordination of clinical and administrative workflows.
  • Oversee practice management functions, including scheduling templates, clinic flow, patient throughput, and front/back-office processes.
  • Oversee all human resource functions such as hiring, training, supervising, performance appraisals and disciplinary actions working closely with the HR Pod to appropriately do so.
  • Serve as the primary administrative contact for space, facilities, equipment, and vendor needs.

Team Management & Leadership

  • Supervise key departmental managers and staff, including nursing leadership, practice managers, HR coordinators, and financial coordinators.
  • Provide coaching, mentorship, and support to ensure accountability, professional growth, and team cohesion.
  • Coordinate performance evaluations, recruitment, onboarding, and disciplinary processes in collaboration with CU, NYP, Service Corp, and 1199 HR partners.

Financial Management

  • Lead development, monitoring, and oversight of divisional operating budgets across academic, clinical, and research activities.
  • Monitor financial performance, ensure fiscal controls, identify areas for improvement, perform financial analysis, and provide regular reports to leadership.
  • Prepare P&Ls, pro forma budgets, and business plans for recruitment and expansion.
  • Oversee revenue cycle processes and ensure appropriate billing and collections.
  • Manage space planning and capital needs from both an operational and budgetary standpoint.
  • Serve as a liaison for payer contract negotiation and vendor purchasing for the fertility center.
  • Partner with leadership in business development and strategic planning.
  • Oversee and manage divisional compensation plan.

Compliance & Policy Implementation

  • Ensure staff and faculty compliance with institutional, hospital, and departmental policies and procedures.
  • Collaborate with compliance and safety officers to ensure adherence to all regulatory and accreditation standards.

Faculty & Academic Support

  • Manage faculty onboarding processes, including credentialing, HR paperwork, and coordination with departmental academic affairs staff.
  • Support coordination of faculty practice operations in collaboration with clinical directors and academic leadership.
  • Support appointment and promotion process for divisional faculty.

Communication & Collaboration

  • Function as a liaison between CUFC leadership and departmental/hospital administration.
  • Communicate operational changes and updates clearly and consistently to all relevant stakeholders.
  • Foster a culture of respect, service, and continuous improvement.

Minimum Qualifications

  • Requires bachelor’s degree or equivalent in education and experience, plus seven years of related experience
  • At least 5 years of progressive experience in healthcare operations, preferably in a faculty practice or multi-site outpatient setting.
  • Prior experience directly managing teams and overseeing day-to-day operations.
  • Strong leadership, organizational, and interpersonal skills.
  • Strong initiative, critical thinking and problem-solving skills.

Preferred Qualifications

  • Master’s degree in healthcare administration or related field preferred.
  • Demonstrated success managing cross-functional teams in a fast-paced clinical environment.
  • Familiarity with HR processes, patient scheduling systems, and compliance requirements.
  • Experience in fertility, women’s health, or academic medicine strongly preferred.
