The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Board Relations and Stewardship, the Associate Director, Board Relations and Executive Support is responsible for supporting the administrative needs of the Vice Dean, Development and Alumni Relations (DAR), the Director of Board Relations and Stewardship, and the Board of Columbia Business School (CBS).

This role requires exceptional organizational and problem solving skills, sound independent judgement and a proactive approach to a complex work environment. This individual must exercise strong communication abilities, and a high degree of discretion and professionalism. The successful candidate will be instrumental in ensuring the efficient operation of the Vice Dean's office and the smooth functioning of the broader team, contributing directly to the department's success in achieving its fundraising and engagement goals. Responsibilities

I. Administrative Support to the Vice Dean (Approx. 55%)

  • Independently manages and maintains the Vice Dean's complex calendar, scheduling meetings, appointments, and travel arrangements. Exercises judgment to resolve scheduling conflicts and anticipate strategic priorities.
  • Prepares and edits correspondences, reports, presentations, and other documents, ensuring accuracy and adherence to Columbia Business School branding and style guidelines.
  • Coordinates and prepares comprehensive materials for the Vice Dean’s meetings, including agendas and background information for prospect meetings.
  • Process expense reports for the Vice Dean and the Executive Director, ensuring compliance with institutional policies.
  • Manages intricate domestic and international travel logistics, including flights, accommodation, ground transportation, and meeting itineraries.
  • Maintains and updates contact reports and other information in CBS’s database of record.

II. Support for the Executive Director, Board Relations and Stewardship and the Columbia Business School Board (Approx. 35%)

  • Works with the Executive Director, Board Relations and Stewardship to support Board and Task Force meeting logistics, including scheduling, venue, agenda preparation, and material distribution, ensuring seamless execution and attendance tracking.
  • Exercises independent judgement in the management of Board records, maintaining accurate contact information, drafting essential onboarding materials, and ensuring timely updates to directories and files.
  • Provides support for Board-related special projects and administrative tasks, conducting research, assisting with various ad-hoc initiatives to ensure the efficient functioning of the Board.
  • Manages and tracks data in support of Board recruitment efforts. Synthesizes insights to support strategic planning and stewardship initiatives.
  • Drafts communications for the Board per the Board communications plan.

III. Office Management for Development & Alumni Relations (Approx. 10%).

  • Serves as the operational point of contact for all office supply inventory and place orders to ensure timely delivery and cost-effectiveness.
  • Serves as the primary liaison for team onboarding and offboarding logistics.
  • Supports departmental meetings, social events, and team-building activities, including scheduling, room reservations, catering, and materials preparation.
  • Communicates with Admissions regarding recommendations from alumni.
  • Works with the Associate Director, DAR Finance and Operations, to develop knowledge around CBS procurement practices; act as backup when needed.

Minimum Qualifications

  • Bachelor's degree and a minimum of 3 years of progressively responsible administrative support experience, preferably in a fast-paced executive office or development/fundraising environment.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with an ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines with a high degree of accuracy.
  • Outstanding written and verbal communication skills, with the ability to compose professional correspondence and interact effectively with diverse constituencies.
  • Ability to exercise sound judgment, discretion, and maintain strict confidentiality.
  • Proactive and resourceful problem-solver with a strong attention to detail.
  • Strong interpersonal skills and a professional, positive demeanor.
  • Ability to work occasional nights and weekends for Board and other division-wide events.

Preferred Qualifications

  • Two or more years of non-profit or for-profit administration, or higher education administration experience.
  • Familiarity with Columbia University or Columbia Business School is welcome.
  • Previous success in office management welcomed.
