Position Summary

The Practice Operations Supervisor oversees the daily administrative and operational functions of a clinical practice to ensure efficient workflows, excellent patient service, and compliance with organizational standards. This role supervises administrative and support staff, manages scheduling and workflow coordination, supports provider operations, monitors practice performance metrics, and assists with revenue cycle and patient access initiatives. The supervisor collaborates with physicians, nursing staff, and leadership to improve operational efficiency, enhance the patient experience, resolve issues, and support a productive, patient-centered environment while ensuring adherence to regulatory and organizational policies.


Responsibilities

Practice Operations

  • Oversee daily front desk and clinical support operations to ensure efficient clinic workflow and high-quality patient care.
  • Monitor patient scheduling, registration, insurance verification, referrals, and check-in/check-out processes.
  • Ensure Certified Medical Assistants (CMAs) maintain appropriate clinical workflows, room turnover, stocking, cleaning protocols, and documentation standards.
  • Coordinate staffing schedules, workflow assignments, and coverage to support operational and patient access needs.
  • Monitor operational performance metrics and identify opportunities for workflow and process improvement.
  • Support revenue cycle operations by ensuring accurate documentation, working the charge review WQ (12169) in EPIC, and reduction of scheduling or registration errors.
  • Ensure compliance with HIPAA, infection control, safety standards, and organizational policies and procedures.
  • Maintain operational readiness of patient care areas, equipment, and clinic supplies.
  • Participate in process improvement initiatives and support achievement of organizational performance targets.
  • Assist leadership with implementation of operational initiatives, workflow changes, and departmental goals.
  • Resolve patient concerns and service recovery issues in a timely and professional manner.
  • Perform additional duties as assigned to support departmental and organizational operations.

People Management

  • Supervise front desk staff and Certified Medical Assistants (CMAs), including performance monitoring, coaching, and accountability.
  • Assist with onboarding, training, mentoring, and development of administrative and clinical support staff.
  • Conduct regular team huddles and staff meetings to communicate workflow updates, departmental expectations, and organizational initiatives.
  • Promote a collaborative, professional, and patient-centered work environment.
  • Address and escalate staff concerns, performance issues, and operational challenges as appropriate.
  • Support staff engagement, teamwork, and adherence to customer service standards.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus three years of related experience required.
  • Excellent organizational, prioritization, and time management skills with the ability to manage multiple competing responsibilities in a fast-paced environment.
  • Strong leadership, interpersonal, and team development skills.
  • Excellent verbal and written communication skills with the ability to interact professionally with patients, providers, staff, and leadership.
  • Ability to maintain professionalism, discretion, and confidentiality at all times.
  • Strong problem-solving and decision-making abilities with attention to detail and operational efficiency.
  • Ability to work collaboratively and effectively within a multidisciplinary healthcare team.
  • Ability to analyze workflows, identify operational gaps, and implement process improvements.
  • Demonstrated ability to coach, mentor, and hold staff accountable to performance and service standards.
  • Strong customer service skills with the ability to manage escalated patient and staff concerns professionally and effectively.
  • Ability to adapt to changing priorities, operational needs, and organizational initiatives.

Preferred Qualifications

  • Master's degree is preferred.
  • Knowledge of billing and scheduling systems.
  • Prior EMR experience.
  • Knowledge of HIPAA, infection control, safety standards, and regulatory compliance requirements preferred.

Other Requirements

  • Must successfully complete compliance and systems training requirements.
