Position Summary
The Senior Manager, Special Projects is a temporary position established to provide high-level analytical, financial, operational, and project management expertise in support of departmental priorities across clinical, research, and administrative functions.
Reporting to the Department Administrator/Chief Operating Officer (DA/COO), the Senior Manager will serve as a cross-functional resource to departmental leadership, working collaboratively with faculty, divisional administrators, Finance, Research Administration, and other institutional partners.
Responsibilities
- Develop, maintain, and analyze clinical productivity reports for faculty, divisions, and departmental leadership.
- Monitor physician productivity, clinical activity, and other key performance indicators.
- Identify trends, variances, and opportunities requiring further review by departmental leadership.
- Support ad hoc analyses related to clinical growth, provider performance, recruitment, and business planning
- Develop and maintain departmental and divisional profit and loss (P&L) statements and other financial management reports.
- Prepare routine and ad hoc financial reporting for departmental leadership; providing recommendations as necessary.
- Analyze revenue, expenses, budget performance, and financial variances.
- Assist with forecasting, financial modeling, and development of business plans for departmental initiatives.
- Reconcile information across financial and operational systems and investigate discrepancies.
- Support departmental leadership in identifying financial risks and opportunities
- Provide support for post-award grant and sponsored project management
- Monitor grant expenditures, balances, funding periods, and financial activity.
- Assist with effort reporting and ensure alignment between faculty/staff effort, funding sources, and salary allocations.
- Support resolution of funding and salary allocation issues.
- Develop, maintain, and monitor faculty and staff salary allocation schedules.
- Review funding sources and salary distributions for accuracy and alignment with approved budgets and effort.
- Assist with salary planning, funding changes, and related reconciliations.
- Support departmental effort reporting and certification processes.
- Identify potential funding gaps or allocation issues and work with appropriate stakeholders toward resolution.
- Assist leadership with space planning, utilization analyses, and requests for institutional reporting.
- Coordinate with departmental and institutional partners to maintain accurate space records.
- Perform other related duties and responsibilities as assigned/requested.
Minimum Qualifications
- Bachelor's degree required or equivalent in education and experience.
- Five (5) years of related experience.
Preferred Qualifications
- Master’s degree in healthcare administration, business administration, public health, finance, or a related discipline.
- Experience within Columbia University and/or Columbia University Irving Medical Center.
- Experience supporting a clinical academic department or division.
- Familiarity with institutional financial, research, HR, space, and clinical reporting systems.
- Experience developing dashboards, financial models, productivity reports, and executive-level presentations.
- Minimum of [5–7] years of progressively responsible experience in healthcare, academic medicine, university administration, finance, research administration, or a related environment.
- Demonstrated experience working with Columbia University systems, policies, and administrative processes.
- Working knowledge of both clinical and research operations within an academic medical center environment.
- Experience with financial reporting, budgeting, P&L development and/or financial analysis.
- Experience with salary allocation, effort reporting, and sponsored research/post-award financial management.
Other Requirements
- Strong analytical skills with the ability to synthesize complex financial and operational information for leadership.
- Advanced proficiency with Microsoft Excel and demonstrated ability to work with large and complex datasets.
- Strong organizational and project management skills with the ability to manage multiple concurrent priorities.
- Excellent written and verbal communication skills.
