Based at our Office in Tomago, this is an exciting opportunity for an office all-rounder and customer champion.
This role comes with a wide scope of opportunities to showcase your administration skills. You will also assist the Service Advisors and be highly organised to remain across all components of the role.
You will make an impact in the following ways:
Be the go-to admin support, help keeping our branch running efficiently every day
Manage data and reports accurately to help drive smart business decisions
Create purchase orders and process supplier payments with precision and care
Coordinate meetings, travel, and staff inductions to support a seamless workflow
Build strong relationships through professional, friendly communication with customers and colleagues
Keep systems, documents, and compliance records accurate and up to date
Play a key role in ISO and HSE compliance, including audits and reporting
Contribute ideas to improve processes and make daily operations smoother
Lend a hand to team members, offering support and guidance when needed
Jump in to assist with reception or service inquiries to keep things moving
RESPONSIBILITIES
To be successful in this role you will need the following:
Administrative skills required, in an automotive industry are beneficial
Advanced computer skills in Microsoft Suite; training provided on other programs
Strong verbal and written communication skills for engaging with customers and stakeholders effectively
Exceptional organizational skills, prioritizing conflicting tasks efficiently to meet deadlines and expectations
QUALIFICATIONS
The Administrative assistant is a member of the branch admin team supporting branch departments including Service and parts departments with administrative tasks including but not limited to: creating purchase orders, reconciling purchase card transactions, coordinating travel arrangements, scheduling employee inductions, maintaining databases including Who's on location and Indy Soft. Compliance activities including: monthly HSE compliance activities, completes ISO audits (Bi-Monthly) contractor management compliance and Management of Change. Preparing for and participating in ISO and HSE audits.
