DESCRIPTION
Coordinates documents, gathers information, and inputs data related to assigned administrative support duties for a team, department, function, or organizational group. Provides operational, documentation, and coordination support with a limited degree of supervision.
Knowledge/Skills: Fleet Management and Secondary Sales (preferred).
Key Responsibilities Administrative & Documentation Support
Provides administrative support by conducting research, preparing statistical reports, and handling routine to complex information requests.
Gathers, compiles, verifies, and accurately enters information into reports, presentations, forms, databases, and spreadsheets.
Performs data collection, data entry, and generates various departmental reports.
Prepares correspondence, manages visitor interactions, arranges conference calls, and schedules meetings.
Customer & Stakeholder Interaction
Responds to or redirects routine to complex inquiries from internal and external stakeholders, ensuring prompt and accurate communication.
Integrates customer perspective in the preparation of sales and fleet-related content to support business outcomes.
Financial & Vendor Support
Prepares documentation for payment requests for vendors, suppliers, and third parties.
Submits payment documentation into accounting systems and responds to related inquiries from accounts payable or payees.
Process, Policy & Compliance Support
Documents, updates, and maintains departmental policies, processes, and procedures.
Participates in departmental business improvement initiatives and projects as required.
Performs a variety of routine to moderately complex administrative tasks in alignment with organizational procedures.
Team Contribution & Knowledge Sharing
Acts as an informal resource for colleagues with less experience by providing guidance and sharing best practices.
Supports fleet management and secondary sales activities through accurate documentation, reporting, and administrative coordination.
RESPONSIBILITIES
Qualifications, Licenses, and Certifications
High school diploma, secondary education certificate, or equivalent experience as permitted by regulations.
This role may require licensing for compliance with export controls or sanctions regulations.

Experience
Requires significant relevant work experience or specialized administrative skills gained through education, training, or on-the-job exposure.
Experience in fleet management or secondary sales support is preferred.
