We are looking for a talented Administrative Associate - General Management to join our team specializing in General Management for our Distribution Business Unit in Kitwe, Zambia.

In this role, you will make an impact in the following ways:

  • Serve as a trusted extension of senior management by ensuring seamless daily operations and consistently delivering a positive experience for internal and external stakeholders.
  • Enhance executive effectiveness through proactive schedule management, anticipating needs, and resolving potential issues before they arise.
  • Strengthen organizational communication by coordinating correspondence, preparing key documents, and ensuring clear information flow across teams, customers, vendors, and public-facing partners.
  • Support strategic decision-making by gathering, verifying, and analyzing information used for reports, presentations, speeches, and other executive communications.
  • Maintain the confidentiality, integrity, and security of senior management records, ensuring compliance with internal standards and best practices.
  • Manage travel logistics, expense reporting, and visa/passport requirements to ensure smooth, efficient, and compliant executive travel.
  • Contribute to operational control by monitoring and approving standard expenditures, managing movable company property, overseeing mine site requirements, and initiating business-related bank payment processes.
  • Act as a knowledgeable resource to colleagues, offering guidance based on experience while delivering high-quality meeting support, including preparation of senior manager presentations and accurate minute-taking.

Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers and answering questions and requests.

Education/ Experience:

  • High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
  • College Diploma or Bachelors of Arts degree
  • Significant work experience and in-depth knowledge obtained through specialized training and relevant experience
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).

To be successful in this role you will need the following:

  • Ability to extract meaningful insights by applying strong qualitative and quantitative data analytics, including statistical reasoning, data validation, visualization techniques, and problem‑solving approaches.
  • Skill in transforming complex data into compelling, easy‑to‑understand visual stories—through reports, dashboards, and presentations—that clearly outline issues, solutions, and opportunities.
  • Strong planning and prioritization capabilities to manage multiple tasks, align work with organizational goals, and consistently meet deadlines.
  • Effective written and verbal communication skills with the ability to tailor messages for different audiences and deliver information with clarity, accuracy, and professionalism.
