Role Description

Deutsche Bank PB – Central COO – Global Admin Team/ Personal Assistant

You will be part of Global Admin Mumbai Team and will require hands-on admin support to onshore Managing Directors (MDs) which includes calendar management, travel and expenses etc. along with providing local admin support

Your key responsibilities

  • Acting as an owner and the first point of contact to coordinate tasks and admin activities for the MDs including: Managing calendars - scheduling meetings & appointments incl. global events e.g. Townhalls, OneIPB events, Connect sessions, Online team engagement events etc.
  • Handle travel bookings (including visa, forex, flight, cab, hotel etc) and expenses
  • Liaise with relevant stakeholders to ensure accurate compilation of documents, actions tracking and follow-ups
  • Arrange and organize events for People engagement topics e.g. Knowledge sharing sessions, Team building events, Senior leadership meetings etc.
  • Assist with local admin tasks
  • Maintain email distribution lists, staff communications, email broadcasts
  • Raise purchase orders for stationery, office equipment (headsets, laptops), licenses, employee welfare items and others

Your skills and experience

  • Previous experience in administrative assistant preferably supporting senior stakeholders i.e. Managing Directors / Directors in onshore locations
  • Post Graduation degree level (Business Administration) or equivalent qualification
  • A self-starter with strong analytical skills
  • Excellent interpersonal & communication skills, with the ability to create presentations and reports
  • Strong organizational and planning skills
  • Excellent spreadsheet and/or basic database skills (data matching, data entry, basic reporting)
  • Knowledge of the banking and financial sectors
