Role Description

The Assistant Vice President (AVP) of Operations plays a critical role in ensuring the smooth functioning of operational processes, supporting the execution of Reconciliations production and maintaining compliance with regulatory requirements. The AVP will oversee operational teams, streamline processes, and collaborate with internal and external stakeholders to enhance efficiency and mitigate risks.

  • The AVP is an Operations Manager who will be required to manage the day to day activities of the Reconciliation function. Would serve as a People Manager with a very strong Subject Matter Expertise to resolve queries from team members and of those raised by stake holders.
  • Reconciliation acts as a control function for the operations & hence involves effective controls design & management as well as risk management for operations groups.
  • Apart from managing day to day operations role involves support & drive change initiatives and projects focused on efficiency improvements.
  • The AVP would also be responsible for other activities like BCM, Audits, Transformation and People related initiatives.

Your key responsibilities

Operations Leadership:

  • Overall responsibilities of the day-to-day deliveries for reconciliations function.
  • Reviewing Workflows and Key Operating Procedures to ensure that they remain up to date.
  • Reviewing reconciliation reports and ensure consistent green KPIs for each of the process lines, investigating breaches with counterparts.
  • Drive KRIs (Control metrics) to effectively manage risk & foster a robust control environment.
  • Ensure processes are aligned directly to the Recon Target Operating Model (TOM) with deviations highlighted.

Transaction Support:

  • Be the subject matter expert & resolves all incoming queries, including complex or escalated queries (based on in depth knowledge of products, systems, trade lifecycle etc).
  • Monitor and resolve any operational issues related to reconciliations.
  • Create synergies between processes to establish optimal operations teams and deliver better Capacity utilization model.
  • Act as a key point of contact for escalations and issue resolution.

Stakeholder Management:

  • Liaise with external stakeholders, such as custodians, clearinghouses, and counterparties, to ensure smooth operations.
  • Build and maintain strong relationships with internal stakeholders, including front-office teams, compliance, legal, and technology.

Risk Management and Compliance

  • Implement a robust risk identification and control implementation framework enabled by a risk and compliance aware culture.
  • Establish a high-performance culture through effective knowledge sharing and management, retention of talent and living the company values.

Process Improvement:

  • Identify and drive Innovation programs with focus on continuous improvement and efficiency for operational processes and deliver capacity/financial saves for the organization.
  • Team development and motivation through strong engagement models, effective employee communication and administering reward & recognition.

Reporting and Analytics

  • Prepare and present operational performance reports to senior management.
  • Monitor key performance indicators (KPIs) and key risk indicator (KRIs) to assess operational effectiveness.
  • Provide insights and recommendations based on data analysis to drive decision-making.

Other Responsibilities / Tasks

  • Support the team members perform primary investigation on the Cash and Position breaks and manage their queries and escalations from the Front Office and Resolving Parties
  • Be the first point of contact for process & functional issues faced by the team members and front office colleagues.
  • Ensure proper back-ups created and assist other teams during contingencies (Staff shortage, high volumes etc)
  • Manage performance of the team members with a focus on their skill development.
  • Perform regular performance reviews of staff as per Organizational guidelines.
  • Adheres to Bank Policies and Procedures and drives compliance within the team.

Your skills and experience

  • Work experience of 10-15 years with the last 8 years managing a team.
  • Prior experience in Reconciliation of Cash & Positions across Investment and Accounting Book of Records against Custodians.
  • Preferably with an Investment Banker, Asset Manager, Fund Accountant and / or a Custodian.
  • Good understanding of Aladdin and market data platforms like Bloomberg is a plus.
  • Knowledge of Security and Trade Life Cycle of various financial products is a pre-requisite.
  • Excellent team worker, able to work in virtual global and cross cultural teams
  • A quality mindset with a Six Sigma / Lean background would be a plus
  • Proficiency in Microsoft Office skills specifically MS Excel & MS PowerPoint
  • Proficiency in operational risk management and compliance.
  • Should demonstrate solution drive approach & innovative thinking.
  • Should be open to work in the required shift.
  • Strong people manager with proven track record of working with & developing people.

Education / Certification

  • Graduates/Masters with good academic records.
  • Excellent communication & collaboration skills.
