Team/ division overview
Our Switzerland sales region is located within the DWS Client Coverage Division. The Senior Management Team is responsible for the entire client business in Switzerland (incl. Israel). You will provide support with administrative and organizational tasks as part of the assistance of our local senior management. The role encompasses project-related coordination and organizational activities, which are essential for the smooth functioning of the DWS Client Coverage Division, as well as of the DWS CH AG.
Role Description
The position CEO Assistant/ Team Assistant includes the following responsibilities:
Support of the CEO with agenda planning, keeping track of appointments, send invitations, avoid scheduling conflicts, prioritize important meetings, manage attendance and rescheduling
Proactive collaboration with other stakeholders in answering general questions and completing ad hoc requests
Optimization of office efficiency, management of visitors (external and internal), managing office supplies and sorting company mail
Logistical responsibility and facility management
Assistance of team members with various daily tasks, including schedule management, travel support (booking accommodation and all modes of transport, associated cost / expense reconciliation and processing), visa/entry requirements oversight, and compliance request facilitation
Helping with event management, through planning and coordinating events and client meetings, as well as supporting marketing activities
Social media and press coordination
Handling invoicing of expenses: assisting with the preparation and processing of invoices and managing payments or reimbursements;
Coordination and organization of recurring board meetings
Set up and generation of the quarterly newsletter
We are looking for applicants with the following qualifications / skills:
Previous experience in administrative assistant preferably supporting senior stakeholders i.e. Managing Directors / Directors
In-depth know-how in the optimization of daily processes, especially event and travel coordination
Strong and demonstrated soft skills, especially in regard to corresponding with various stakeholders in the coordination of daily tasks and meetings
Strong organisational and planning skills
Handling sensitive company information with discretion and security
Ability and willingness to work in a fast-paced environment
In depth knowledge of MS Office, calendar and travel booking tools, as well as excellent oral and written communication skills in German and English are essential
