Administrative Coordinator – DCRI Government Operations

Coordinates and tracks both immediate and forecasted resourcing needs across therapeutic areas and facilitates process for meeting needs in a timely manner. Supports the assessment and forecasting of staffing needs for Government Trials & Networks staff across all positions in all therapeutic areas.

Gather input from management team and HR to assisting development of comprehensive recruitment and retention strategies; including marketing materials for potential candidates. Review candidate CVs screening for qualifications, interest and capabilities and refers appropriate candidates for the interview process. Monitors the effectiveness of recruitment and retention strategies including development of key performance indicators. Work with Operations Managers and key faculty members to evaluate skill and experience needed for therapeutic diversification and to develop hiring strategies to meet needs.

Collaborate with management team for establishing and maintaining career paths for Government Trials & Networks personnel. Collect and share with Government Trials & Networks management team information regarding industry best practices about resourcing/resourcing models, career development, and recruitment and retention strategies. Oversee the creation, revision and maintenance of role/job descriptions for Government Trials & Networks.

Provide data to Government Trials & Networks management team for use in determining assignment of new personnel and reassignment of existing personnel to projects

Establish and monitor productivity and utilization standards as well as recruitment/retention and staffing metrics for the Government Trials & Networks group. Analyze standards and metrics and recommend strategies to ensure optimal resource productivity/utilization, employee satisfaction/retention as well as client satisfaction.

Work with Director, Operations Managers and Human Resources to monitor salary equity for new employees and reclassifications. Assist with implementation of Rewards and Recognition programs.

Proactively identifies, presents and recommends resourcing solutions including selection, contract execution and oversight for selected resource contractors/vendors. Work with Recruiters and Sourcing firms to recruit candidates as needed.

Manage travel vendor and contract. Assist with development of travel policies and procedures for the Government Trials & Networks group.

Supervise and coordinate the activities of Support Services Coordinator and/or Administrative Assistant.

Provide instruction, coordination and assistance to assigned individuals as needed.

Education:

Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

Experience

Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.

A master's degree in a business related field may be substituted for 2 years’ experience.

Preferred Experience:

Highly prefer experience in a clinical research or pharmaceutical industry environment with matrix management.

Experience in consulting on resource planning and the effective mix/use of employees, contractors and outsourcing.

Marketing or human resources experience is helpful.

Strong Excel skills

Excellent interpersonal, negotiation and oral and written communication skills, organizational/time management skills, ability to manage multiple priorities, work independently, multi-task, attention to detail and problem solving and critical thinking desired.

Ability to work well independently and also as a team member

Minimum Qualifications

Education

Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

Experience

Work requires 2 years related business or administrative experience to OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities. A master's degree in a business related field may be substituted for 2 years experience.
