Center for Documentary Studies- Senior Program Coordinator

Duke University’s Center for Documentary Studies (CDS) is seeking a dynamic and dedicated Program Coordinator to play a pivotal role in supporting the vibrant, interdisciplinary community that defines our center.

CDS is a hub for innovation in documentary work, offering cutting-edge learning experiences across a wide range of mediums—photography, film, video, writing, audio, experimental, and new media. We are committed to producing and supporting original work that connects life, learning, and art, and we showcase the work of artists who bring new perspectives to the human experience.

As the Program Coordinator, you’ll be at the heart of CDS’s mission, working closely with the Director, Program Director, and Operations team to bring our programs to life. Your work will ensure the smooth operation of our academic offerings and public events, and you’ll be instrumental in amplifying the impact and visibility of our work within the university and the wider community.

Key Responsibilities

Director Support: Scheduling meetings and managing calendar for Director, collaborate with the Director and CDS faculty to design and implement our interdisciplinary curriculum, supporting course planning, program assessment, and academic accreditation, support Director of Undergraduate Studies with Faculty events, new programming, and as needed.

Programming:

Support, coordinate and administer a diverse range of programs and events, from student workshops to community engagements, ensuring they are impactful and well-attended.

  • Support the Associate Director of Programs, assisting with scheduling, grant writing, and academic program development, and maintain our digital presence through website and social media updates.
  • Manage logistical support for the Doc+ summer program, including marketing, student recruitment, planning cohort activities, facilitating communication between students, faculty director, faculty partners, external partners, and CDS staff.
  • Coordinate workshop registration, venue, travel, supplies, and other support for visiting artists to CDS Generate targeted invitation lists for CDS events, programming, and exhibitions. Coordinate co-sponsorships of CDS events, programming, and exhibitions with other departments/units and external partners Coordinate exhibition program at CDS.
  • Handle and develop systems for general inquiries that come to CDS regarding awards, opportunities, sponsorships, exhibitions,
  • Develop and maintain systems for CDS continuing education program, including registration, student records, instructor communication, and budgeting, marketing, and communication.

Communication: Lead communications and outreach efforts, maintaining a strong presence for CDS across our website, social media, and other platforms.

Finance Support: Provide essential administrative support, including budget management, financial documentation, and logistical coordination, ensuring the seamless operation of all CDS activities. Processing CDS financial documents, receipts, etc. as needed.

Events Coordination: Greet and welcome students, contractors, staff, faculty, and other visitors to the facilities. Help coordinate and oversee Staff/Faculty and CDS social events with organizers.

Other: The above duties describe the general nature and level of work being performed by individuals assigned to this classification. Other responsibilities might include supporting special events happening at the Center, or supporting any of the Directors with their Programs such as DocX, Full Frame Film Festival, etc.

What We’re Looking For

  • A proactive, creative team player who is as comfortable working independently as they are collaborating with others.
  • Someone with a keen eye for detail who can juggle multiple projects simultaneously.
  • A communicator with strong organizational skills and, ideally, a passion for documentary work, although not required.
  • A tech-savvy individual, or someone eager to learn, who can troubleshoot basic audio-visual issues and is comfortable using Microsoft Office, Teams, and other relevant software. Training is provided.
  • Flexibility, a good sense of humor, and a willingness to grow with the dynamic and evolving programs at CDS.

This is an on-site position based at CDS on Duke’s East Campus. We are looking for a candidate with a bachelor’s degree, a min of 5-10 years of experience and a passion for documentary work, along with a desire to contribute to a vibrant, creative community.
