Summary
The incumbent will work independently and is responsible for executing admissions and recruitment initiatives for the Physician Assistant Program. The position reports to the Administrative Manager and works in alignment with the Assistant Director of Admissions and the Director of Recruitment to implement admissions and recruitment materials, events, and related opportunities.
Work Performed
- Recruitment Activities:
- Manage recruiting budget.
- Build and maintain relationships with targeted undergraduate schools, especially HBCUs and HSIs.
- Manage recruiting calendar.
- Update recruiting presentations as needed. Give presentations about the PA profession and the Duke PA Program to undergraduate groups and health care affinity groups both in-person and via Zoom.
- Represent the program at recruiting fairs across the state.
- Develop pipelining activities.
- Serve as co-chair of the recruitment committee.
- Manage social media admissions and recruiting technical logistics, including Facebook Live and Instagram events.
- Assist the admissions department as needed. Set up live admissions Q&A sessions, serve on the admissions task force, provide support for interview days, etc.
- Maintain alumni and prospective student mailing lists and contact information.
- Content Management:
- Work with stakeholders to regularly update content on the program website related to admissions and recruitment. Use preferred content management system (Drupal) to manage and maintain content.
- Plan, organize, and execute social media campaigns for admissions and recruitment activities, including creating event announcements and promotions, capturing photos from events, and posting recaps.
- Manage student blogs, recruit student writers, serve as editor and mentor to student writers.
- Plan and write monthly admissions blog posts to help prospective students with frequently asked questions about applying to PA school.
- Supervision:
- Supervise student social media interns who contribute to program Instagram and TikTok accounts. Onboard and supervise students, provide social media policies, guidelines, and expectations, and serve as mentor and advisor.
- Communications Liaison:
- Serve as liaison between the Physician Assistant Program and the School of Medicine Office of Strategic Communications. Pitch story ideas and coordinate photo/video shoots with the Office of Strategic Communications. Participate in monthly SOM communicators network meetings.
- Brand Management:
- Manage program brand (branding guidelines, templates, logo usage, etc.). Order branded items and coordinate with the Office of Strategic Communications on brand questions.
- Serve as Scholars@Duke Power user for the Physician Assistant Program.
- Demonstrate a strong commitment to diversity, equity, and inclusion, especially in recruitment.
Required Qualifications
The principal supervisor of this position is the Administrative Manager. This position also maintains a close working relationship with the PA Program Director, PA Division Chief, Director of Admissions, Assistant Director of Admissions, Directors of Preclinical and Clinical Education, Director of Diversity and Inclusion, Alumni Senior Program Coordinator, as well as PA faculty, staff, and students.
Education/Training:
- Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.
Experience:
- Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities OR an equivalent combination of education and relevant experience.
Skills:
- Ability to synthesize complex topics and make them understandable to a target audience.
- Excellent written and oral communication skills.
- Experience with social media management.
- Experience with managing website content.
- Experience with email marketing tools (such as Mailchimp or Constant Contact).
- Strong critical thinking and problem-solving skills.
- Excellent administrative and organizational skills.
- Ability to work independently, meet deadlines, and handle multiple simultaneous activities.
- Handle confidential information with discretion.
- Experience with Microsoft Outlook, Word, Excel, PowerPoint.
- Knowledge of Adobe Illustrator, Canva, or other graphic design software, as well as photo editing software, is a plus.
Minimum Qualifications
Education
Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.
Experience
Work generally requires four years of clerical or research experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.
