Occupational Summary

The Senior Program Coordinator for Alumni Education assists with the development and execution of professional development programs in support of the Forever Learning initiative. Working with faculty and university administrators, alumni, the Alumni Engagement and Development (AED) staff, and vendors, the Senior Program Coordinator's primary responsibilities will support professional education programs and events on campus and online including conferences, short and full-length virtual courses, and alumni-faculty engagement both in and out of the classroom. This role also works with the academic education team to promote educational programs to the alumni community through digital and print communications and advertisements. This position reports to the Professional Development Director on the Lifelong Learning team within Alumni Engagement and Development.

Work Performed

Program Development

  • Develop and support professional development opportunities for alumni engagement on campus and online.
  • Coordinate educational engagements with the AED staff and campus partners including the Graduate School and all professional schools in conjunction with the directors of academic engagement and professional development.
  • Create and distribute program surveys using Qualtrics to evaluate program quality and effectiveness and report to senior leadership on findings.
  • Develop and host virtual engagements to support new and existing online courses, programs, and conferences.
  • Oversee the development of asynchronous and in-person engagements that support the Forever Learning Institute and other AED and Lifelong Learning Initiatives.
  • Investigate global and peer trends to recommend and implement modifications to existing programming, and participate in the development of new programs.
  • Participate in the program budget development and monitor expenditures.

Program Coordination and Curation

  • Liaise with other programs, offices, and departments within Duke to ensure cooperative efforts and utilization of available resources.
  • Curate content for the Forever Learning Newsletter, which is distributed up to 6 times a year. Collect and create elements for website updates.
  • Collaborate with other campus programs to share online education opportunities, especially those that offer certification and professional credentialing.

Alumni Engagement and Tracking

  • Work with the Director to identify and track alumni engagement in courses for all Duke learners in the alumni database.
  • Promote and support the inclusion of alumni as experts in AED-sponsored programs.
  • Work with faculty and administrators to recruit alumni for engagement in academic and co-curricular experiences as speakers, mentors, advisors, and auditors.

Communications and Marketing

  • Oversee the development and distribution of the Forever Learning Newsletter and other digital communications working with AED’s Marketing and Communications team.
  • Collaborate with the marketing and communications team to create marketing plans which including print (brochures, magazine and newspaper ads, flyers) and electronic (social media, email, website, digital materials) marketing and advertising.

Support the work of the Lifelong Learning team

  • Serve as the host of engagement efforts for Lifelong Learning leading on-site and online programs.
  • Maintain engagement report data and ensure its accuracy in a timely manner.
  • Develop reports and presentations for meetings, programs, and other public delivery.

Support the work of Alumni Engagement and Development

  • Contribute to cross-functional teams as interests or work responsibilities align supporting broader organization initiatives and goals.
  • Participate in hiring and onboarding efforts of the organization.
  • Attend and support AED events and meetings, occasionally on evenings or weekends.

Skills: Program development and assessment experience preferred; knowledge of Adobe Creative Suite and Microsoft Office Suite preferred.

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
