Occupational Summary

Directly and indirectly manage all functions related to recruitment efforts for the Internal Medicine Residency Programs and MD/PhD recruitment in the Department of Medicine. Assist with the coaching program for the Duke Internal Medicine Residency Program. In addition, maintain maintenance and upkeep of residency website both for curriculum for residents and content for recruitment.

Work Performed

Coordinate all efforts in selecting, inviting, scheduling applicants for interviews. Manage daily activities related to recruiting, spanning 6 months of intensive effort.

Coordinate post interview data collection and analysis. Serves as primary contact for ERAS, coordinates rank order list for the programs. Work directly with recruitment staff specialist for assistance with recruitment activities.

Oversee and manage all aspects of the MD/PhD and preliminary intern recruitment efforts under the guidance of the Department of Medicine.

Work directly with ACGME Gastroenterology fellowship programs’ leaders to support program needs. Monitor and evaluate scheduling reports quarterly to ensure fellows’ schedules are meeting all ACGME and ABIM requirements for training. Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness.

Manage and oversee Alumni networking and communications for DOM. Working directly with the Director of Communications and Program Directors to ensure consistency is being met for the DOM. Coordinate marketing efforts to enhance recruitment efforts and visibility to prospective applicants. Work on monthly newsletter for DOM programs. Coordinate Events for DOM in relation to alumni, recruitment, and development efforts

Acquire knowledge of current rules, regulations, and institutional requirements. Develop a thorough knowledge of residency databases to enhance residency programs and department efficiency, and update annually. Ensure resident education and compliance with national, hospital, departmental, and program policies.

Oversee and Manage credentialing and verification efforts for all DOM training program graduates. Work directly with program coordinators to accurately bill and administer documentation to necessary parties.

In conjunction with the Program Director, design and administer the program’s educational curriculum and compile necessary data for continuous quality improvement and accreditation.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.


Experience:

Work generally requires four years of administration experience to acquire strong skills in administrative or recruitment responsibilities as well as accepted office management, communications and research practices.

A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE


Skills:

Proficient in the use of computer databases and PowerPoint, Excel, and Word. Experience working with Medhub system strongly preferred.

Must have a demonstrated ability in efficiency and time management to work under pressure in regard to meeting regular, simultaneous deadlines for various individuals, organizations and institutions.

Must be detail-oriented and able to work independently.

A proven capability to work comfortably with physicians, administrators and other healthcare providers at all levels.

Skill in managing assigned projects related to education and healthcare, such as special programs and events, which require significant multitasking.

Minimum Qualifications

Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinateand implement a variety of program activities and events.
