Duke Primary Care Administrative Specialist Position
Level Characteristics Guidelines
We are seeking an organized and detail-oriented Administrative Specialist to support the Duke Primary Care senior leadership team. The Administrative Specialist will be regularly required to resolve complex (non-routine) administrative problems independently or with thorough knowledge of department policies, procedures, and act as a liaison between Duke Primary Care and external groups.
The ideal candidate will have excellent communication skills, a knack for problem-solving, an ability to multi-task, and a strong background in office management. Problem resolution may include research and coordination between multiple departments or entities. Tasks are typically diverse and advanced.
In addition to tasks outlined in the Administrative Clerk and Administrative Assistant description, examples of work at this level may typically include some combination of the following:
- Office Management: Manage and organize office records, coordinate office correspondence, and maintain office supplies and equipment. Ensure the office environment is well-organized and efficient.
- Financial Management: Assist with budgeting, financial reporting, and processing invoices. Maintain accurate financial records and ensure compliance with financial policies.
- Event Planning: Plan, coordinate, and participate in the implementation of activities including network meetings, seminars, conferences, and public events. Develop and coordinate new ideas and concepts for program themes.
- Program Coordination: Provide administrative support to departmental staff within assigned areas to support the accomplishment of program objectives. Develop, coordinate, and advise staff regarding relevant policies and procedures.
- Communication: Respond to inquiries via email, telephone, or in-person. Prepare and edit documents, reports, and presentations. Coordinate meetings, appointments, and travel arrangements for team members.
- Content Creation: Creatively uses PC, and Microsoft applications, including Word, PowerPoint, and Excel.
This position will require 3-4 onsite days weekly with an opportunity for some remote work.
Minimum Qualifications
Five years of administrative support experience with demonstrated leadership responsibilities in prior roles.
Education
High school education or equivalent with five years of administrative experience. Two years postsecondary education preferred.
