The Special Programs team within Duke’s Office of Information Technology (OIT) empowers and inspires students through experiential co-curricular technology programs, including Duke Technology (DTech) and Code+. These programs are dedicated to fostering diversity by encouraging Duke undergraduates to explore and pursue careers in technology and computing. By emphasizing community, mentorship, and hands-on experiences, DTech and Code+ aim to develop the next generation of diverse leaders who will drive innovation in the tech industry and strengthen the tech talent pipeline.
In addition to managing these flagship programs, the Special Programs team supports internal and external communications and engagement efforts, promotes OIT services, provides learning and development opportunities for the Duke community, and contributes to initiatives such as the Center for Computational Thinking (CCT) and the CS Immersion program for middle school students.
The Program Coordinator will play a key role in coordinating the programs by managing logistics, tracking progress, and facilitating communication among students, faculty, and external stakeholders.
Key Responsibilities:
- Program Support and Coordination: Coordinate program activities to align with organizational and university goals. Support planning efforts through scheduling, organizing resources, and managing timelines. Collaborate with leadership and stakeholders to define program deliverables and milestones.
- Student and Participant Engagement: Place students at the core of program activities. Support their growth and success by addressing questions, managing onboarding, and creating a welcoming experience. Coordinate engagement activities to foster a strong, supportive community among participants and alumni, reinforcing a network that promotes lasting connections and career development. Provide individual coaching to students to support their growth.
- Administrative Support: Maintain organized program materials, including project plans and reports. Manage logistics for meetings, workshops, and events, including scheduling, room bookings, and preparation.
- Stakeholder Communication: Serve as a central resource for students, staff, faculty, and partners and donors, providing program information and support. Develop communications such as newsletters and social media updates to keep participants informed and to facilitate clear communication between technical teams, students, and administrative staff.
- Event and Workshop Coordination: Collaborate with the Engagement and Events Coordinator to plan and coordinate program events, handling logistics such as registration and catering. Gather feedback post-event to refine and improve future programming.
- Technical Program Support: Collaborate with Code+ leads to establish hosting standards, select appropriate technology stacks, and code repositories to ensure consistency and accessibility. Align technical requirements with program goals, and define infrastructure needs, leveraging AI-based solutions to optimize resources. Partner with technical teams to develop hosting plans and provide reliable deployment environments for program projects.
- Data and Reporting: Track program metrics such as participation rates and outcomes, organizing data for reports and assessments. Create visual representations, such as charts or dashboards, to showcase program impact. Develop and implement processes that ensure that databases of students and alumni information are synchronized and up-to-date.
Required Qualifications:
- Minimum of 3 years’ experience in program or product coordination, with a proven ability to build and maintain effective relationships with diverse students and colleagues.
- Demonstrated curiosity for learning and exploring new tools, programming languages, and technologies.
- Strong strategic and analytical thinking skills, with the ability to solve problems, make decisions, and prioritize projects effectively.
- Attention to detail, follow-through, and time-management skills.
- Strong verbal, written, and presentation skills, with the ability to communicate clearly and effectively.
- Self-motivated, with the ability to identify challenges and develop solutions across departments.
- Knowledge of technical career paths and recruiting processes.
- Proficiency in Microsoft Office, Google Workspace, Instagram and LinkedIn
- Experience with data collection and reporting
Preferred Skills:
- Experience with data collection and reporting.
- Familiarity with full tech stack development, including front-end (e.g., HTML, CSS, JavaScript frameworks like React or Angular) and back-end (e.g., Node.js, Django, or Spring Boot) technologies.
- Proficiency in at least one programming language, such as Python, Java, or JavaScript.
- Knowledge of university systems, policies, and procedures.
Education / Training: Bachelor’s degree (Computer Science, Electrical or Computer Engineering, or related fields preferred but not required) with experience in product or program management, or an equivalent combination of education and experience
