Title: Administrative Assistant to the Head Coach / Operations Coordinator
Position Summary
Duke University is seeking a qualified candidate for the Operations Coordinator and Assistant to the Head Coach position. This position will oversee the day-to-day operation of the football program. Candidates must have the ability to work a flexible schedule, including nights and weekends.
Essential Functions:
• Manage and coordinate expense reports for coaching staff
• Manage and coordinate expense reports for operations staff
• Provide direction and prioritization standards for the screening of the department’s mail, email, phone, voicemail and appointments using expert judgment and knowledge
• Assistant to Head Football Coach
o Monitor email and forward appropriate correspondence
o Coordinate a busy and shifting office calendar including scheduling and coordinating travel, meetings and/or conferences, speaking engagements
• Assist the football recruitment department, football strategy department and football operations department during heavy usage and peak times
• Monitor and order office supplies for football program
• Process all football related invoices for payment
• Liaison to the Duke Athletics Business Office
• Oversight of travel policies
• Educate coaches and staff on changing policies and best practices to ensure timely reimbursements
• Additional duties as needed to drive the success of the Duke Football Program
Knowledge, Skills, Ability:
• Excellent written and oral skills
• Ability to multitask and work on multiple projects at once
• Proficiency in many computer system such as but not limited to all Microsoft systems and Adobe.
• Ability to learn quickly and communicate effectively
• Excellent organizational ability and attention to detail
• Ability to manage time well and prioritize tasks
Qualifications:
Bachelor’s Degree and minimum 1-3 years of related administrative experience

Education:
Work requires a general educational background normally equivalent to a full high school education plus two years of post-secondary education in a business-related field.
Experience:
Work requires 4 years of related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles, and coordination of major office activities. OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $45,000.00 to USD $52,000.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate’s work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
