As the Student Records and Registration Coordinator, you’ll be a vital part of the Registration team supporting multiple academic programs at The Fuqua School of Business. You will help ensure accuracy, compliance, and exceptional service across course scheduling, student records, and essential registration processes.

You will collaborate with faculty, program staff, and campus partners to maintain smooth academic operations, uphold data integrity, and deliver a high-quality experience for students and instructors alike.

What You’ll Do

Academic Operations & Scheduling

  • Implement procedures for course scheduling, exam scheduling, and classroom assignments.
  • Enter, maintain, and audit course and exam data in EMS, DukeHub, and related systems.
  • Support Summer, Fall, and Spring classroom scheduling, including communicating logistics to campus partners.
  • Assist with drop/add, enrollment adjustments, independent study documentation, and transfer credit entry.
  • Update advisement records in Stellic and ensure alignment with academic requirements.
  • Support documentation and processing for student exchange programs.
  • Assist with grading processes including adding graders and providing system guidance.

Student & Faculty Support

  • Serve as a front-line resource for students and faculty; triage and address inquiries.
  • Escalate complex or policy-sensitive matters to senior Registrar staff.
  • Support matriculation, graduation tracking, diploma processing, and apply-to-graduate review.
  • Maintain and publish academic calendars, deadlines, and key dates via Canvas and other channels.

Systems & Administrative Coordination

  • Create, maintain, and update registrar forms, documentation, and reference materials.
  • Ensure accessibility compliance for online forms and registrar-related content.
  • Use Qualtrics and survey tools to gather and organize scheduling and classroom data.
  • Coordinate operational needs with BMO, ETS, Multimedia, SDS, and other campus partners.
  • Assist with general office coordination and administrative support.

Operational Effectiveness

  • Follow established workflows to maintain accurate academic records and support compliance.
  • Maintain tracking systems and documentation related to scheduling and student progression.
  • Identify and elevate process inconsistencies or improvement opportunities to senior staff.
  • Perform other related duties as assigned.

What You Bring

Education & Training

  • Bachelor’s degree required.

Experience

  • One year of academic administration, program coordination, or related administrative support experience.
  • Equivalent combinations of relevant education and experience may be considered.

Skills & Preferred Qualifications

  • Strong organizational skills with proven ability to meet deadlines accurately.
  • Proficiency in Microsoft Excel and standard office applications.
  • Strong customer-service orientation with ability to support diverse student and faculty populations.
  • Ability to learn systems such as PeopleSoft/DukeHub, EMS, Canvas, Perceptive Content, Stellic, and Canva.
  • Sound judgment with the ability to determine when issues should be escalated.

This role is student-facing and requires regular onsite presence (minimum four days per week), with five days onsite required during the first year and during peak registration periods.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $19.80 to USD $30.63. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
