Join Ecolab’s sales team as a Corporate Account Administrative Assistant in the Irving, TX area. Within our industry-leading Specialty division, this sales support opportunity will play a key role in supporting two corporate account managers. This position is responsible for managing and prioritizing requests from these associates and ensures all necessary reporting, correspondence, and requests are completed in a timely, accurate, and professional manner. As a critical role for the business, this position expeditiously and effectively resolves the issues and concerns of large, multi-unit corporate account customers.
How You’ll Make an Impact:
Maintain key relationships with customers and internal departments to build knowledge and understanding of customer needs and expectations
Process and schedule new opening orders, mass product orders, and recurring monthly/annual billings for digital products.
Create, update, and maintain pricing contracts utilizing our Contract Management System
Maintain 3rd party customer catalog portals, ensuring pricing is updated when Finance communicates pricing changes.
Communicate with executive-level customers on behalf of the corporate account manager as needed.
Assist internal departments with research into customer issues (e.g., invoice discrepancies, work order analysis, reporting) and follow up on and/or resolve customer questions including product, credit, pricing, and distribution and service concerns
Process legal contracts via AdobeSign by obtaining and reviewing financial data, ensuring details match the contract, and requesting signatures. Filing executed contracts appropriately and in a timely manner.
Establish accurate customer master data (e.g., contract alignment, discounts, special delivery instructions, billing preferences, contact information, change of ownership, new account requests, ordering exceptions, status) and make change requests through the appropriate avenues
Utilize our SaaS website to enter customer information and create the required records for order placement of our digital projects.
Run monthly reports on a rotating basis
Provide back-up support to other members of the administrative team in the region as requested by the direct supervisor
Ad hoc reports and projects as requested by the direct supervisor
Position Details:
Location: Irving, TX
Shift: Monday-Friday 8am-5pm with availability for overtime
This is a hybrid role requiring 3 days in office and 2 days remote

Minimum Qualifications:
High School Diploma or GED
Advanced proficiency specifically in Microsoft Excel (VLOOKUP, pivot tables, filters, concatenate, etc.)
3 years of sales support experience
Intermediate proficiency with the Microsoft Office Suite (Word, PowerPoint, Outlook)

Excellent verbal and written communication skills, with a strong customer service focus
Preferred Qualifications:
Bachelor’s degree
Experience successfully managing multiple competing priorities to meet deadlines
Organizational skills and attention to detail
Experience in anticipating needs, being resourceful, and using sound judgment and tact
Critical thinking, analytical, and problem-solving skills
Learning agility; Experience quickly gaining knowledge of organizational operations, procedures, and staff
