Job Summary:

As Order Administrator, you will be responsible for a broad variety of administrative and business support related tasks, working closely with Sales and reporting to the Order Management Manager.

In This Role, Your Responsibilities Will Be:

  • Serve as the primary point of contact for customer inquiries related to orders, product availability, shipping status, and billing.
  • Handle customer complaints and troubleshoot order issues effectively to achieve timely resolutions.
  • Prepare daily and weekly reports on order statuses, shipping metrics, and customer satisfaction
  • Oversee the finished goods inventory management and ensure accurate FG product tracking, storage, and distribution
  • Oversee the sales POR process, ensuring seamless communication between sales and order management teams and driving revenue generation by optimizing the order fulfillment process.
  • Proficiency in reviewing and examining trade documents to ensure compliance with the terms and conditions of the LC.
  • Knowledge of discrepancies and how to handle them according to international banking practices.
  • Ensure compliance with customer-specific requirements and standards.
  • Ensure timely generation of revenue through efficient order processing and invoicing.
  • Verify the legitimacy of invoices and submissions before sending them to customers and promptly address any discrepancies or issues related to invoicing.
  • Manage customer portals, ensure timely updates and responses, and coordinate with customers to resolve portal-related issues or inquiries.
  • Updating the Late Reason Codes in the system.
  • Ensure seamless execution of orders from receipt to delivery, supervise service levels, and take proactive measures to meet or exceed customer expectations.
  • Collaborate with logistics and fulfillment teams to optimize order execution processes.
  • Ensures adherence to local & international Company trade compliance procedures in connection with all transactions and business practices.
  • Under general direction, monitor all global order backlog for potential problems where the order fulfilment flow could stall and work with the proper personnel to resolve those problems.
  • Liaise with Finance to resolve any invoice discrepancies and help reduce the company DSO levels.
  • Provide contract management on all orders by ensuring commercial terms & conditions (such as payment terms, Incoterms) are with company standards.
  • Handling the LC/CAD orders and ensure seamless execution.
  • Fulfil any other reasonable duties as required.
  • Responsible for engaging with customers and addressing their needs, including visiting them when required.

For this Role, You Will Need:

  • Graduate in any field with minimum 3 to 4 years’ experience in Order management
  • Should be a proven self-learner
  • Strong troubleshooting skills and the ability to resolve issues quickly and effectively.
